Full Job Description
The Academic HR Analyst 2 supports a broad range of human resources and academic personnel functions for the Basic Sciences Administrative cluster, including but not limited to appointments for graduate academic student employees, postdoctoral scholars, specialists, academic researchers, project scientists, and volunteers/visitors. This role manages the full lifecycle of academic actions while guiding policies, procedures, and employee relations matters.

  • Bachelor's degree in a related area and/or equivalent experience/training
  • Intermediate experience in Academic Personnel
  • Demonstrated experience with administrative tasks in an academic or office setting, including data entry, recordkeeping, and scheduling
  • Demonstrated experience providing customer service, responding to inquiries, and resolving issues professionally and courteousl y
  • Demonstrated experience in handling confidential information and maintaining accurate records with discretion
  • Demonstrated experience in HR processes, such as recruitment, onboarding, or payroll support
  • Proficiency with various software systems, including Microsoft Office (Word, Excel, Outlook) and other programs used for creating correspondence, forms, reports, spreadsheets, and presentations
  • Demonstrated ability to work in a team-oriented environment, collaborating with colleagues to achieve organizational goals and resolve issues
  • Strong organizational skills to meet performance expectations with a focus on quality, efficiency, and timeliness
  • Ability to independently manage multiple tasks, adjust to frequent interruptions, and prioritize workload based on evolving demands
  • Capable of anticipating scheduling changes, working under pressure, and meeting deadlines while maintaining composure in high-stress situations and managing conflicting priorities
  • Ability to communicate professionally and effectively, both written and verbal, with strong knowledge of correct spelling, grammar, and proofreading
  • Capacity to learn and apply organization and school policies governing academic HR, payroll, as well as formal and informal departmental procedures
  • Understanding of policy exceptions and variances
  • Analytical skills to identify issues, evaluate relevant factors, and develop logical conclusions or alternative solutions
  • Ability to accurately interpret both verbal and written instructions
  • Proven ability to apply mathematical skills in performing payroll and general accounting calculations accurately
  • Skills to analyze options and solve problems independently on assigned projects while utilizing available resources to efficiently complete work as assigned; skills and ability to develop creative solutions to general problems.

  • Familiarity with HR/Academic Personnel and/or Employee Relations related issues

  • Must be flexible and can communicate effectively with team members and work cooperatively with others as well as participate, contribute ideas, set goals, tolerate confusion, and support and implement decisions
  • Ability to independently coordinate a variety of tasks and functions; work around frequent interruptions; organize workload, and set changing priorities
  • Anticipate and provide schedule changes; work under pressure; and maintain composure under heavy workloads and conflicting priorities in an effective manner
  • Demonstrated written communication skills, using appropriate grammar, spelling, and punctuation to correspond with various individuals and agencies
  • Knowledge and ability to work with a variety of software programs
  • Experience using PC's and MAC computers required
  • Experience using Microsoft Excel and Word

Preferred Qualifications
  • Experience in event coordination and logistical planning, including arranging travel, managing schedules, and organizing meetings or seminar series
  • Demonstrated experience with UC systems, such as UCPath, Handshake, Cognos, MyInfoVault, AggieService, UC Recruit, iGlobal, GradHub, APHID, AggieExpense, AggieEnterprise, etc.
  • Familiarity with APM, UC policies, procedures, and related collective bargaining agreements

Department Overview

The School of Medicine Basic Sciences Administrative cluster provides administrative support to multiple Basic Science departments. The mission of these departments is to conduct innovative research, engage in high-level service, and provide excellent educational opportunities and mentoring to students, postdoctoral fellows, and residents. Collaboration and fearless exploration of new ideas are crucial to achieving this mission. Education is provided at many levels, including through highly-ranked courses. Departmental academic operations are conducted on both the Sacramento and Davis campuses, with research facilities located on both campuses. Combined, these units serve roughly 80 faculty members who generate more than $19M in research awards and $16M in non-research expenditures (FY24).
