Description

You'll report to the CEO and own outpatient performance across six core areas: patient access, patient experience, clinical optimization, financial performance, and employee engagement/leadership and strategic growth, all across 9+ locations. This role turns organizational strategy into consistent execution across every outpatient location, building the systems, expectations, and leadership bench StatCare needs to keep growing.

The right candidate has led multi-site outpatient practice operations before, ideally within a physician-owned, specialty, or ambulatory organization, and is just as comfortable in strategy discussions with the CEO and physician leadership as in day-to-day work with practice managers and frontline teams.

Key Responsibilities

Patient Access

  • Improve scheduling capacity, provider utilization, and appointment availability across all locations.


  • Work with physician leadership to optimize provider templates and clinic capacity.


  • Set targets for wait times, cancellations, and no-shows, and track performance against them.


  • Support new provider recruitment and onboarding so operations can absorb added volume.


Clinical Optimization

  • Standardize workflows and best practices across locations while leaving room for local needs.


  • Build KPIs and dashboards, and use the data to spot trends and performance gaps.


  • Partner with clinical leadership to make sure operations support quality and patient-safety goals.


  • Keep operations compliant with federal, state, payer, and accreditation requirements, and lead corrective action when issues come up.


  • Work with IT and EHR leadership to get more out of current systems and evaluate new tools that improve efficiency and access.


Patient Experience

  • Set clear expectations for a consistent, high-quality patient experience across every location.


  • Track patient satisfaction data and watch for trends in complaints or service issues.


  • Build and run corrective-action plans when experience scores fall short.


  • Make sure clinic leaders understand their role in a patient-centered culture.


Financial Performance

  • Build outpatient budgets and forecasts with finance and set financial and operational targets by location.


  • Monitor labor expense, staffing ratios, supply costs, and productivity, and find ways to protect margins without cutting into care or staff experience.


  • Step in with corrective-action plans at underperforming locations.


  • Partner with the VP of Revenue Cycle Management on front-end processes, registration, insurance verification, authorization, coding, and charge capture, that drive clean claims and reduce denials.


Employee Engagement & Leadership

  • Set the organizational structure for clinic managers, supervisors, and other operational leaders, and hold them accountable.


  • Build a leadership pipeline among Practice Managers through development and performance-management standards.


  • Partner with the VP of HR on staffing models, workforce and succession planning, compensation, and retention.


  • Build strong working relationships with physicians and physician leadership, and keep communication flowing between executive leadership and outpatient teams.


Strategic Growth

  • Help build the business case for new locations, service lines, equipment, and staffing models.


  • Evaluate market opportunities for new locations, providers, services, and partnerships.


  • Lead the operational side of approved expansion, including staffing, equipment, and readiness before launch.


  • Evaluate opportunities for co-management arrangements, service agreements, or joint ventures with hospital and health system partners.


  • Establish a formal performance review process for new locations and service lines after launch, and adjust the operating plan based on results.


Requirements

Education

  • Bachelor's degree in Healthcare Administration, Business Administration, Nursing, Public Health, or a related field required.


  • Master's degree in a related discipline preferred.


Required Experience

  • 8+ years of progressive healthcare operations experience, including at least 5 years leading multi-site outpatient practice operations.


  • Experience managing multiple locations, operational leaders, and geographically distributed teams.


  • Demonstrated financial and operational accountability.


Preferred Experience

  • Physician-owned or specialty medical group experience.


  • Experience supporting both clinical and administrative outpatient operations.


  • Experience with practice growth, acquisitions, new-site development, or integration.


  • Experience with provider productivity and compensation models.


  • Experience leading organizational change and standardization initiatives.
