Overview

In this role, you lead the team responsible for interview scheduling, candidate-experience coordination, interviewer load management, and recruiting-event logistics. By anticipating business and function needs, you proactively build the systems, processes, and people that make the entire scheduling function run smoothly at scale, globally. You bring structure, clarity, and operational excellence to a fast-moving talent acquisition function. Your natural service orientation and ability to stay ahead of function needs will serve as a model for your team - setting the bar for carrying out exceptional experiences for candidates, fellow Talent Acquisition team members, and partners in the business.

Responsibilities

Leadership & Delivery
  • Lead, coach, and develop a team of Recruiting Coordinators/Schedulers
  • Set performance expectations, manage workload distribution, and ensure consistent execution
  • Scale team capabilities to meet evolving business needs

Operational Excellence
  • Own end-to-end scheduling and coordination operations across the hiring lifecycle
  • Establish and manage key metrics (e.g., speed, quality, data accuracy)
  • Standardize processes, tools, and documentation to drive consistency and efficiency
  • Identify opportunities for continuous improvement based on data and stakeholder feedback

Candidate Experience & Planning
  • Ensure a high-quality, consistent candidate experience across all interactions
  • Manage interviewer capacity, readiness, and load balancing
  • Partner with recruiting leadership to forecast demand and align resources

Systems, Data & Process Optimization
  • Optimize TA systems (ATS, scheduling tools, automation) to enable scale
  • Ensure data integrity and reporting accuracy across all recruiting systems
  • Implement streamlined, tech-enabled workflows to reduce friction and manual work

Events & Logistics
  • Oversee planning and execution of recruiting events and career fairs
  • Manage logistics, materials, and vendor coordination to ensure operational readiness

Compliance & Data Privacy
  • Ensure adherence to recruiting policies, regulatory requirements, and audit standards
  • Maintain the integrity, security, and proper handling of candidate data across systems and vendors
  • Partner with Legal, HR, and IT to support compliant and privacy-aligned recruiting processes

Qualifications

Required
  • Bachelor's degree
  • 10+ years professional experience post academics
  • You have experience managing a team in recruiting operations, HR operations, or a coordination-heavy function.
  • You bring proven leadership skills and know how to coach, motivate, and develop people.
  • You excel at organization, prioritization, and problem-solving.
  • You bring expertise in leveraging and optimizing ATS or scheduling platforms.
  • You thrive in a fast-paced, high-volume environment.
