Full Job Description
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES FOR STRATEGIC OPERATIONS LEAD:

  • Keep the Chief Marketing & Technology Officer organized across the IT, E-Commerce, and Marketing portfolios, coordinating all three without replacing the functional leaders who remain accountable for executing their own work.
  • Own and maintain the master calendar, meeting cadence, and initiative schedule spanning IT, E-Commerce, and Marketing.
  • Prepare agendas, progress reviews, and executive progress reporting for the Chief Marketing & Technology Officer.
  • Track priorities, milestones, budgets, decisions, dependencies, and commitments across all three portfolios.
  • Follow up with owners on open commitments and alert the Chief Marketing & Technology Officer when dates or outcomes are at risk.
  • Coordinate cross-functional dependencies so that work in one portfolio does not stall another.
  • Coordinate schedules, progress, decisions, and follow-through for major IT projects, including the ERP search and Salesforce Retail Cloud, supporting the Director of IT Operations, Privacy & Risk as overall project lead and the Director of Engineering & AI on technical delivery.
  • Report weekly and monthly on portfolio execution, including the master schedule, milestones, cross-functional dependencies, decisions needed, overdue commitments, budget actions, hiring progress, and initiative status across IT, E-Commerce, and Marketing.
  • Track hiring progress and budget actions for authorized Technology positions and report status to the Chief Marketing & Technology Officer.
  • Prepare materials for the quarterly executive gate review, including staffing range, released hiring budget, uptime and service performance, delivery speed, product outcomes, website-transition readiness, vendor savings, and unresolved risks.
  • Maintain a single source of truth for the initiative portfolio, including intake of new requests, standard status definitions, and one common reporting format used by all three portfolios.
  • Publish decision records and meeting minutes that capture the decision, the owner, and the due date, and confirm each action item is closed.
  • Maintain the vendor and contract calendar for the assigned portfolios, including renewal dates, notice periods, and transition milestones, and provide advance notice of approaching deadlines.
  • Coordinate onboarding logistics, communication plans, and internal announcements for new Technology positions and organizational changes in partnership with Human Resources.
  • Build and maintain executive dashboards and reporting tools that provide current visibility into schedule, budget, and initiative health.
  • Safeguard confidential organizational, personnel, budget, and vendor information, and exercise discretion in all executive communications.
  • Enforce all company policies and procedures.
  • Ensure the safety and productivity of employees.
  • Perform any other duties as directed by management.


Education and/or Work Experience Requirements:

  • 5-10 years of experience in business operations, program or project coordination, or executive-level operational support.
  • Degree in Business, Communications, Project Management, or related field preferred.
  • Demonstrated experience coordinating multiple concurrent initiatives across more than one department or function.
  • Working knowledge of project and portfolio management practices, with proficiency in project management and collaboration software.
  • Experience preparing executive agendas, progress reviews, and status reporting for senior leadership.
  • Strong organizational and follow-through skills, with a demonstrated record of tracking commitments to closure.
  • Proven ability to handle confidential information with discretion and sound judgment.
  • Strong communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Ability to repetitively use arms, hands and fingers.
  • Ability to communicate effectively with team members.
  • Positive attitude when working with internal and external customers.
  • Knowledge of employment and safety procedures.
