Full Job Description

Corporate Communications is seeking a Business Project Manager, Specialist to strengthen the department's planning, prioritization, and measurement capabilities, supporting seamless execution across the function. Working closely with leaders across media relations, reputation management, media and creative services, Vanguard's web teams, and others, you'll play a key role in driving business planning, improve visibility into department performance, and strengthen coordination around the function's highest priorities. You'll evaluate how work moves across teams, identify opportunities to improve effectiveness, and lead initiatives that span multiple stakeholders.

In this highly visible role, you'll work directly with the Chief Communications Officer and his leadership team to help translate strategy into execution by evaluating workflows, improving business processes, supporting cross-functional initiatives, and developing executive-level insights, reporting, and recommendations that help the leadership team make informed decisions. You'll play a key role in shaping the team's operating model, enabling greater alignment across teams, and helping Corporate Communications better understand, communicate, and demonstrate its contribution to Vanguard's business priorities.

Key Responsibilities

  • Supporting process improvement and operational effectiveness: Document current-state workflows, identify opportunities for improvement, and support efforts to simplify, standardize, and enhance how work is executed across functions.

  • Maintaining process documentation and governance: Develop and maintain process maps, operational documentation, and related resources that serve as a reliable source of truth for teams and stakeholders.

  • Supporting business planning and progress tracking: Assist in maintaining planning frameworks, initiative trackers, dashboards, and reporting tools that provide leaders with visibility into priorities, milestones, and progress against objectives.

  • Coordinating cross-functional initiatives: Partner with stakeholders across Corporate Communications and enterprise functions to align activities, gather inputs, and ensure initiatives remain coordinated and on track.

  • Managing project execution and delivery: Develop and maintain project plans, track milestones and action items, monitor progress, and help drive accountability for deliverables and commitments.

  • Identifying risks, dependencies, and challenges: Proactively monitor initiatives for risks, dependencies, resource constraints, and potential roadblocks, escalating issues and recommendations as appropriate.

  • Supporting governance and decision-making processes: Coordinate meetings, maintain documentation, track action items, and ensure decisions, assumptions, and next steps are clearly documented and communicated.

  • Producing executive-ready materials: Translate complex information into concise presentations, status updates, decision papers, and recommendations that support leadership discussions and informed decision-making.

  • Building stakeholder relationships: Develop productive partnerships across teams and functions, facilitating communication and alignment among stakeholders with varying priorities and perspectives.
