Job SummaryResponsible for the administration of employee group benefits, leave, and compensation programs. This role will interact with our providers, brokers, and employees to support existing programs, research potential changes, and provide analysis/insight regarding the effectiveness of our current policies.
Essential Duties and ResponsibilitiesThe incumbent may be asked to perform other function-related activities in addition to the below-mentioned responsibilities as reasonably required by business needs.
Heath and Welfare Benefits:- Administer US and Canadian health and welfare benefits
- Coordinate companywide open enrollment meetings. Work with Dayforce and consultants to update system with new plans and rates
- Serve as a liaison between employees, brokers and insurance carriers
- Handle benefits inquiries from management, employees, and brokers
- Audit, reconcile, and accurately process benefit invoices, including on and offboarding employees for all health and welfare benefits
- Prepare benefit portion of Exit packages and notify vendors of termination, if applicable
- Ensure plans and rates are accurate, update and maintain the Benefits Sharepoint, including, but not limited to the US and Canadian Holiday Schedules and benefit and wellness information
- Monitor benefits eligibility and communicate enrollment opportunities to newly eligible employees, including distribution of required compliance documents
- Escalate all ADA potential leave to the Manager
- Prepare the census data for the required 5500 filings on both the health and welfare benefits
- Perform quarterly audits between benefits and payroll
- Administers and maintains ERISA wrap plan documentation, ensuring compliance with applicable regulations
- Coordinate and monitor nondiscrimination testing for benefit plans, addressing corrective actions as needed.
Wellness:- Support and contribute to the planning and execution of wellness events
- Maintain and update the Wellness sharepoint
- Distribute health and welfare flyers or communication pieces to inform and/or educate employees about Company benefits
Retirement Administration- Administer the 401(k) plan, track open enrollments, loans and deferrals, and audit against payroll
- Oversee 401(k) eligibility tracking, ensures timely employee notification of enrollment eligibility, and distributes all required plan and compliance documentation
- Complete both the census and nondiscriminatory testing for 401K plan
- Administer the Canadian RRSP plan
- Facilitate 401k audit
- Distribute compliance communication to inform and/or educate employees about retirement benefits
Leave of Absence Administration:- Administer and track employee leave of absence following and completing a LOA Checklist, inclusive of Request for Leave, prepare case specific LOA package. Deliver timely employee correspondence and management communication at both ends of the leave.
- Utilize Dayforce to track all leaves, including documents as appropriate. Promptly upload leave documents into employee file.
- Accurately track owed benefit premiums and manage timely collection of premium payments, or as appropriate.
- Prompt completion of incoming disability, paid family leave or other wage correspondence
- Work closely with team members on accurate benefit deductions, including 401(k) loan payments and premium payments during leave of absence

Education☒ Bachelor's degree required
Specific Area of Study: Human Resources or related field
Experience☒ 2 to 5 years relevant experience
Specific Related Experience:
Skills- Strong analytical skills with the ability to interpret benefits data, identify trends, and spot discrepancies
- Working knowledge of ERISA, HIPAA, COBRA, Section 125, ACA, and applicable state/federal leave laws
- Solid understanding of U.S. health & welfare plans, retirement plans, and leave administration practice
- Experience supporting or coordinating benefit programs in multiple countries (preferred)
- Excellent written and verbal communication skills.
- Excellent organizational and time management skills.
- Proficient in Microsoft Excel (VLOOKUP/XLOOKUP, pivot tables, data validation).
- Experience with HRIS and benefits administration platforms (e.g., Dayforce, Workday, UKG, carrier portals)
