About the Role:
As the Senior Executive Assistant to the CEO, you will provide dedicated, high-touch administrative support to the CEO while leading the centralized Executive Support team. You will serve as a trusted partner who understands the CEO's priorities, anticipates needs, protects time and ensures that meetings, travel and communications are coordinated with a high degree of judgment and discretion.

You will lead a team of Executive Scheduling and Executive Travel Specialists, establishing service standards, assigning executive portfolios and ensuring reliable coverage across the Sr. Executive team. This role requires the ability to balance hands-on CEO support with team leadership, confidently resolve competing priorities and represent the Office of the CEO with professionalism, confidentiality and efficiency.

This role will be required to work in our Emeryville Corporate Office 4-5 days per week and as needed to support the business. The Senior Executive Assistant will report directly to the CEO.

Responsibilities Include:
  • Provide dedicated support to the CEO, including complex calendar management and prioritization, meeting preparation, travel arrangements, expense reporting, personal support and other administrative needs that maximize the CEO's effectiveness.
  • Serve as the primary point of contact for requests involving the CEO and represent the Office of the CEO with internal and external stakeholders.
  • Anticipate scheduling conflicts, decision points, preparation needs and upcoming commitments; proactively recommend solutions and adjustments.
  • Coordinate Board of Directors, Sr. Executive and other highly confidential meetings, including agendas, materials, logistics and follow-up as needed.
  • Manage sensitive correspondence, information and business matters with the highest level of discretion and sound judgment.
  • Lead, develop and coach the Executive Support team to maintain a high level of efficiency and customer service.
  • Establish administrative support standards, working norms, intake processes and service expectations for the centralized support model.
  • Monitor team workload, coverage and service levels; rebalance assignments and coordinate backup coverage during absences or periods of increased demand.
  • Resolve escalated scheduling and prioritization conflicts involving multiple Sr. Executives.
  • Partner closely with the Chief HR Officer and other key stakeholders on CEO priorities, meeting cadence, leadership forums and special projects.
  • Build strong cross-functional relationships, particularly with members of the Sr. Executive team, their direct reports and key internal partners.
  • Identify opportunities to improve administrative processes, tools, templates and team efficiency.
  • Adapt proactively as business needs change and take on additional responsibilities or special projects as needed.
  • In everything, represent Grocery Outlet and the Grocery Outlet team with confidentiality, professionalism, kindness and efficiency.

About You:
  • 10+ years of progressive executive administrative experience, including significant experience directly supporting a CEO in a fast-paced organization.
  • Prior experience working directly with a Board of Directors (Public company strongly preferred).
  • Prior experience leading, coaching or coordinating the work of an administrative support team.
  • Demonstrated ability to manage a highly complex executive calendar and make sound prioritization decisions with limited direction.
  • Strong executive presence and communication skills, with the ability to interact confidently with Board members, senior leaders and external stakeholders.
  • Exceptional judgment, discretion and integrity when handling confidential or sensitive information.
  • Highly organized and detail oriented, with the ability to manage competing priorities and remain calm in a rapidly changing environment.
  • Strong problem-solving skills and a proactive approach to anticipating needs and removing obstacles.
  • Experience coordinating executive meetings, leadership events, Board meetings or other high-visibility activities.
  • Strong people leadership, service orientation and commitment to creating consistent, high-quality support experiences.
  • Strong proficiency with Microsoft Outlook, Teams, Zoom, PowerPoint, Excel and other business administration tools; experience with Concur or a similar travel and expense platform preferred. BoardVantage proficiency preferred.
  • Bachelor's degree in Business Administration or a related field preferred, or an equivalent combination of education and experience.
