Full Job Description
To function as the primary sourcing lead for assigned programs. Negotiates critical program components based on knowledge of client requirements from initial request through contract completion and turnover; this includes recommending supplier and destination options and solutions. Proactively negotiates prices and contracts. Communicates with suppliers, account team and client on a timely basis. Follows standard operating procedures for all sourcing and contracting activity.

What You'll Be Doing
  • Develop and execute sourcing, negotiation, and contracting strategies for meetings, incentives, and events.
  • Research, qualify, and recommend hotels and destinations based on client requirements, while managing the RFP process and preparing comparison analyses.
  • Negotiate room blocks, pricing, concessions, attrition terms, cancellation clauses, and other contractual business terms with hotels and suppliers.
  • Draft and review supplier contracts, addenda, and authorization documents to ensure accuracy and alignment with client needs.
  • Maintain accurate sourcing records, reporting, cost-savings documentation, and complete program files in accordance with company and client requirements.
  • Communicate contract status, deposits, key milestones, and sourcing updates to clients, account teams, and stakeholders.
  • Partner with clients, hotels, destination partners, and suppliers to support program objectives, resolve challenges, and enhance program value and outcomes.
  • Share industry insights, supplier recommendations, and best practices while supporting complex sourcing and VIP requests.


What You'll Bring
  • College degree or equivalent industry experience.
  • Minimum of 5 years of experience in project, event, or meeting management, including at least 2 years focused on sourcing and procurement for meetings and incentives.
  • Experience sourcing and negotiating with hotels and resort properties.
  • Strong knowledge of event budgeting, forecasting, and financial management.
  • Proven ability to build and maintain successful client and supplier relationships.
  • Strong negotiation skills and ability to develop mutually beneficial solutions.
  • Experience using online sourcing and RFP tools; proficiency with technology and data analysis.
  • Ability to manage multiple projects, priorities, and deadlines in a collaborative team environment.


Nice To Have (Preferred)
  • Cvent sourcing experience.
  • Deep knowledge of hotel, destination, and travel supplier operations.
  • Experience supporting complex, VIP, or large-scale meeting and incentive programs.
  • Strong analytical skills with experience evaluating supplier value and cost-savings opportunities.


Working Logistics & Things You Should Know
  • This is a Hybrid role for candidates located in the St. Louis area, with 2 days per week in the Fenton office (Wednesday is a required onsite day).
  • Candidates outside the local area may be considered based on business needs.
  • Working hours are generally 8:00 AM - 5:00 PM CST.
  • This position requires occasional travel, approximately 2-5 trips per year, for client, supplier, industry, or internal business needs.
