Project Administrator II in our
Upper Midwest Region, Equipment group. In this role, you will provide administrative and operational support for equipment-related projects and processes from set-up through closeout. Responsibilities include project documentation, order entry, purchase orders, invoicing support, materials coordination, and administrative closeout.
This role works closely with internal team members to support accurate, timely completion of project-related activities. The ideal candidate is organized, detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced environment.
What You Will Do:- Under limited supervision, provide administrative support for equipment-related projects and internal processes.
- Prepare and maintain project documentation from project set-up through administrative closeout.
- Enter equipment orders and vendor orders in applicable business systems.
- Issue purchase orders and reconcile purchase order issues as needed.
- Pull job credit numbers and assist with credit supplement processing.
- Ensure compliance with internal equipment ordering processes and documentation requirements.
- Assist with the distribution and receipt of submittals.
- Support invoicing activities and help maintain accurate project-related financial records.
- Validate cost-to-date information and reconcile project data in business systems.
- Review billing backlog and coordinate internally to resolve administrative processing issues.
- Maintain accurate project files, records, and internal status information.
- Partner with internal team members to support timely completion of assigned activities.
- Participate in and contribute to continuous improvement and lean activities.
What You Will Bring:- One-year certificate from college or technical school; or three (3)+ years of related experience and/or training; or an equivalent combination of education and experience.
- Candidates without a 4-year degree are encouraged to apply; we prioritize practical experience, relevant skills, and alignment with our leadership principles.
- Strong communication skills and the ability to work independently as well as part of a team.
- Proven ability to prioritize tasks and meet deadlines in a high-paced environment.
- Strong attention to detail, organization, and follow-through.
- Working knowledge of Microsoft Office products and standard office equipment.
- Familiarity with HVAC systems, Energy Management Systems, and/or temperature controls preferred, but not required.
- Strong understanding of financial information preferred.
- Flexibility to work overtime and weekends, as required.
