Position Summary:

The Senior Facilities Manager is responsible for managing facilities operations and service delivery across an assigned multi-site portfolio. This role ensures facilities services are delivered safely, efficiently, consistently, and in accordance with JLL standards, client expectations, contractual requirements, account procedures, and applicable regulatory requirements.

The Senior Facilities Manager serves as a key operational point of coordination across the assigned portfolio, supporting consistent execution of account priorities, service delivery standards, vendor performance, work order management, financial discipline, compliance support, and stakeholder communication.

This position requires a proactive and experienced facilities professional with strong operational judgment, client-service orientation, vendor management capability, technical awareness, and the ability to coordinate effectively across multiple teams, service lines, and locations.

Essential Duties and Responsibilities:
Facilities Operations and Service Delivery
  • Manage the day-to-day delivery of facilities management services across assigned sites within the portfolio.
  • Provide operational oversight for building operations, soft services, workplace services, vendor services, maintenance coordination, customer service, and site support.
  • Ensure facilities services are delivered in accordance with the client agreement, JLL policies, account procedures, service level expectations, and applicable compliance requirements.
  • Monitor site conditions through regular inspections, walkthroughs, stakeholder engagement, work order reviews, and service quality checks.
  • Identify service gaps, operational risks, process breakdowns, and performance concerns; assist with developing and implementing corrective actions.
  • Support consistent operating routines, including team huddles, service reviews, vendor meetings, action item tracking, reporting, and operational updates.
  • Ensure a high level of responsiveness, professionalism, and follow-through in support of client and occupant needs.
  • Maintain service continuity across assigned sites during absences, vacancies, peak workload periods, business impacts, or urgent operational situations.
Portfolio Coordination and Account Execution
  • Coordinate facilities activities across assigned sites to support consistent service delivery and operational alignment.
  • Track open issues, recurring concerns, vendor commitments, client-sensitive matters, and action items through completion.
  • Coordinate follow-up with Facilities Managers, Assistant Facilities Managers, Building Services Coordinators, Workplace Experience teams, Engineering, vendors, and internal support partners.
  • Prepare and maintain issue logs, action trackers, operational summaries, meeting notes, dashboards, and status updates as needed.
  • Provide timely and accurate updates to account leadership regarding service delivery risks, vendor performance, client concerns, staffing coverage, and operational priorities.
  • Support alignment across Facilities Management, Engineering, Workplace Experience, Project Management, Space Planning, MAC, EHS, Security, Finance, Sourcing, and other account partners.
  • Serve as a key operational point of coordination for assigned portfolio matters and escalation support.
Client and Stakeholder Management
  • Develop and maintain positive working relationships with client representatives, site stakeholders, business unit contacts, internal partners, and service providers.
  • Communicate effectively regarding service delivery, planned maintenance, operational impacts, incident updates, vendor activity, and corrective actions.
  • Ensure client requests are documented, reviewed, prioritized, assigned, and executed in accordance with account processes and approval protocols.
  • Manage client expectations through timely communication, appropriate escalation, and disciplined follow-through.
  • Participate in client meetings, operational reviews, site-level service discussions, and stakeholder engagement activities as required.
  • Exercise discretion and professionalism when handling sensitive client spaces, escalated matters, confidential information, or high-visibility operational issues.
Team Coordination and Performance
  • Provide day-to-day coordination and guidance to Facilities Managers, Assistant Facilities Managers, Building Services Coordinators, Workplace Experience team members, vendors, and other support staff as assigned.
  • Set expectations for ownership, responsiveness, communication, work order discipline, meeting participation, vendor follow-up, and customer service.
  • Coach team members on proper documentation, escalation, communication, and follow-through.
  • Support training, cross-training, workload balancing, team coverage, and adherence to account procedures.
  • Promote collaboration across Facilities Management, Engineering, Workplace Experience, Security, EHS, Space Planning, MAC, Projects, Finance, Procurement, and vendor partners.
  • Identify performance or execution gaps and escalate them in a timely, factual, and professional manner.
  • Support a culture of safety, accountability, professionalism, urgency, and continuous improvement.
Work Order Management and CMMS Administration
  • Monitor work order activity within Corrigo to ensure timely response, accurate documentation, proper assignment, and quality closeout.
  • Review open work orders, aging tickets, overdue items, recurring issues, escalations, preventative maintenance activity, and service request trends.
  • Partner with Facilities Managers, Assistant Facilities Managers, Engineering, vendors, and support teams to resolve work order issues and maintain CMMS discipline.
  • Ensure work orders contain appropriate notes, status updates, vendor information, completion details, and supporting documentation where applicable.
  • Use CMMS data to identify trends, service gaps, repeat issues, and opportunities to improve service delivery.
  • Support reporting of work order performance, backlog, aging, completion quality, and service trends to account leadership and client stakeholders as needed.
Vendor and Supplier Management
  • Coordinate vendor service delivery across assigned sites and service lines.
  • Ensure vendors perform in accordance with contract requirements, site expectations, safety standards, scopes of work, and service level requirements.
  • Support vendor scheduling, site access, service coordination, corrective work, preventative maintenance, inspections, proposal development, and issue resolution.
  • Review vendor proposals for scope accuracy, business need, pricing clarity, schedule impact, assumptions, exclusions, and alignment with account expectations.
  • Monitor vendor performance and escalate service deficiencies, missed commitments, safety concerns, documentation gaps, or quality issues as appropriate.
  • Support account sourcing, procurement, and finance processes related to vendor onboarding, purchase orders, invoice review, accruals, and contract compliance.
  • Promote a high standard of vendor professionalism, communication, responsiveness, and accountability.
Building Operations and Technical Coordination
  • Maintain working knowledge of building systems and infrastructure, including HVAC, electrical, plumbing, fire/life safety, elevators, building automation, lighting, roofing, building envelope, and other base building systems.
  • Coordinate with Engineering and technical service providers to support maintenance activities, repairs, inspections, testing, outages, and building system reliability.
  • Assist with planning and communication for maintenance activities that may impact occupants, operations, critical areas, technical spaces, or client-sensitive environments.
  • Support operational readiness for planned work, after-hours activities, building impacts, shutdowns, vendor mobilization, and contingency planning.
  • Translate technical issues into clear operational and business-impact communication for stakeholders.
  • Ensure appropriate escalation and communication during service disruptions, infrastructure issues, or building system events.
Incident Management and Risk Support
  • Support incident response, escalation, documentation, communication, recovery, and corrective action tracking.
  • Assist with coordination during events involving building system failures, water leaks, power interruptions, loss of cooling, elevator issues, fire/life safety concerns, environmental conditions, vendor failures, or other operational disruptions.
  • Ensure incidents and service disruptions are escalated in accordance with account procedures, severity, client impact, safety risk, and business sensitivity.
  • Prepare or contribute to incident summaries, root cause documentation, lessons learned, action trackers, and client-facing updates as needed.
  • Track follow-up actions and help ensure corrective actions are completed in a timely manner.
  • Identify recurring risks or service issues and recommend process, vendor, staffing, communication, or preventative maintenance improvements.
Compliance, Safety, and Audit Support
  • Support compliance with JLL policies, client requirements, regulatory obligations, site procedures, and applicable safety standards.
  • Partner with EHS, Engineering, vendors, and site teams to support inspections, audits, permits, training requirements, corrective actions, impairment processes, and safety documentation.
  • Ensure vendors and team members follow site access requirements, work authorization processes, PPE requirements, safe work practices, and applicable work controls.
  • Support the maintenance of records related to inspections, vendor reports, deficiencies, service documentation, compliance activities, and audit readiness.
  • Escalate safety concerns, compliance risks, repeated deficiencies, or documentation gaps to the appropriate account leadership.
Financial and Administrative Support
  • Support financial discipline across assigned sites by assisting with operating budget tracking, vendor spend, purchase orders, accruals, invoice review, forecasting input, and cost control.
  • Review service requests and vendor proposals to confirm scope clarity, business justification, funding path, pricing detail, and operational need.
  • Assist with identifying whether work should be managed through operating expense, reimbursable services, project delivery, capital planning, or other approved funding channels.
  • Partner with Finance, Sourcing, Project Management, and account leadership to ensure expenses are properly tracked, documented, and aligned with account expectations.
  • Identify opportunities for savings, cost avoidance, improved vendor value, and more efficient service delivery.
Projects, Moves, and Operational Transitions
  • Support coordination with Project Management, MAC, Space Planning, Workplace Experience, Engineering, Security, vendors, and client stakeholders for projects, moves, occupancy changes, and operational transitions.
  • Represent facilities operations during planning, turnover, service readiness, punch list review, commissioning support, and post-project stabilization as assigned.
  • Identify facility impacts, maintenance access needs, stakeholder communication requirements, vendor support needs, operational risks, and service continuity considerations.
  • Help ensure required documentation, asset information, warranties, training, and closeout materials are provided to operations following project completion or space modification.
  • Support planned shutdowns, building impacts, after-hours work, occupant notices, logistics coordination, and operational readiness planning.
Process Improvement and Account Governance
  • Support the development, implementation, and continuous improvement of standard operating procedures, playbooks, checklists, communication templates, issue trackers, dashboards, and escalation workflows.
  • Promote consistent processes across assigned sites while recognizing site-specific requirements and operational constraints.
  • Assist in strengthening governance around client requests, approvals, service prioritization, vendor dispatch, communication, funding alignment, and issue escalation.
  • Use operational data, stakeholder feedback, field observations, and team input to identify opportunities to improve performance and efficiency.
  • Support account initiatives related to operational excellence, service delivery improvement, reporting modernization, technology adoption, and team effectiveness.
