Full Job Description
We are looking for a Senior Facilities Administrator to lead the daily operations and management of our Northern Virginia office. In this role, you will be responsible for maintaining a safe, efficient, and well-functioning workplace by overseeing facility operations, coordinating maintenance activities, managing vendor partnerships, supporting space planning initiatives, and ensuring emergency preparedness.

Facility Management & Maintenance
  • Manage the daily operation, maintenance, and upkeep of office buildings, building systems, equipment, and surrounding grounds.
  • Coordinate and administer preventive maintenance programs for critical infrastructure, including HVAC, UPS, and other building systems.
  • Schedule routine inspections, document findings, and maintain accurate maintenance records and compliance logs.
  • Establish and maintain facility policies, procedures, and best practices to support reliable day-to-day operations.


Space Planning & Project Coordination
  • Coordinate office relocations, workstation reconfigurations, and space planning initiatives to maximize workspace efficiency.
  • Partner with department leaders to evaluate current and future space requirements.
  • Develop and monitor schedules for facility improvement projects, including renovations, upgrades, and office buildouts.
  • Maintain current floor plans, occupancy records, and other space management documentation.


Vendor & Contract Management
  • Manage relationships with vendors, contractors, and service providers supporting facility operations.
  • Escort contractors working within secure or restricted areas and oversee project activities to ensure compliance with safety, security, and access requirements.
  • Negotiate vendor agreements and service contracts to achieve quality results while maintaining cost efficiency.
  • Administer custodial and other facility service contracts, coordinating new services and ongoing support as business needs evolve.


Budgeting & Cost Control
  • Prepare and manage facility operating budgets and related expenditures.
  • Track spending, identify cost-saving opportunities, and implement measures that support responsible budget management.


Health, Safety & Emergency Preparedness
  • Ensure compliance with applicable building codes, safety regulations, and organizational policies through regular inspections and risk assessments.
  • Develop, maintain, and update emergency response procedures to promote occupant safety.
  • Organize and facilitate emergency drills and preparedness training for employees.


Communication & Stakeholder Liaison
  • Serve as the primary liaison between employees, leadership, property management, vendors, and service providers.
  • Provide timely communication regarding facility updates, maintenance activities, and service requests.
  • Respond effectively to changing priorities and support operational needs in a fast-paced, mission-focused environment.


QUALIFICATIONS

Required Qualifications
  • Bachelor's degree in Facilities Management, Business Administration, or a related field. Four (4) additional years of relevant experience may be substituted for the degree requirement.
  • Four (4) or more years of progressively responsible experience in facilities management.
  • Strong knowledge of facility operations, preventive maintenance programs, and commercial building systems.
  • Demonstrated experience managing facility projects such as office moves, renovations, and infrastructure upgrades.
  • Working knowledge of building codes, health and safety regulations, and applicable compliance standards.
  • Experience using facility management software and building automation systems.
  • Excellent organizational, communication, and customer service skills with the ability to build effective relationships across all levels of the organization.


Preferred Qualifications
  • Certified Facility Manager (CFM) or equivalent professional certification.
  • Experience working with property management systems, including submitting, monitoring, and tracking service requests.
