Description

SAIC is seeking a Senior Executive Operations Specialist with an active TS clearance to support the Deputy Secretary of War Business Operators for National Defense (BOND) program within the Office of the Secretary of War (OSW), Director of Administration and Management (DA&M) Office. The BOND program recruits the nation's best private-sector and defense-industry experts to work directly with the Department's senior leadership. This position provides direct, high-touch administrative and operational support to senior DoW leadership, including the Secretary and Deputy Secretary of War, while facilitating key OSW leadership initiatives and bringing operational efficiencies and subject matter expertise to the Department of War (DoW).

This position requires on-site support at the Pentagon, Monday through Friday, during core business hours (8:00 AM - 4:00 PM), with flexibility for potential adjustments to the work schedule based on operational needs.

"The anticipated salary range for this position is between $120,000 and $140,000, based on the candidate's education, experience and qualifications."

Primary Responsibilities:
  • Lead onboarding, integration, and ongoing support for senior DoW and private-sector executives within the BOND program, ensuring a seamless experience for all participants.
  • Provide high-touch, concierge-level support to senior leadership across daily operations and strategic engagements.
  • Manage administrative operations end-to-end, including scheduling, calendar management, event planning and logistics, correspondence, and office coordination.
  • Prepare and review executive-level materials, ensuring accuracy, professionalism, and compliance with DoW standards and formats.
  • Coordinate personnel actions such as security clearances, Special Government Employee (SGE) appointments, onboarding/offboarding (e.g., CAC/NIPR access), and required documentation routing.
  • Oversee travel coordination using the Defense Travel System (DTS), including authorizations, reservations, and vouchers, while adapting to frequent changes.
  • Maintain office operations, including supply procurement, IT requests, equipment maintenance, mail/package handling, and SharePoint/website updates.
  • Ensure records management compliance in accordance with DoW, GSA, and National Archives policies and lifecycle requirements.
  • Serve as a professional liaison across stakeholders, communicating effectively with senior government officials and executives in all formats - written, verbal, and in-person.
  • Support ad hoc initiatives and special projects in alignment with OSW priorities.

Qualifications

Required Qualifications:
  • Active Top Secret clearance required at date of hire; Ability to obtain a TS/SCI required to maintain employment.
  • US citizenship.
  • Education & Experience (one of the following):
    • Master's Degree and 10 years of professional experience; OR
    • Bachelor's Degree and 12 years of professional experience; OR
    • 19 years of professional experience in lieu of a degree.
  • Ability to provide on-site support at the Pentagon, Monday through Friday, during core business hours of 8:00 AM - 4:00 PM.
  • 4+ years of experience providing professional and analytic deliverables, insights in support of technical, managerial, procedural, and project tasks.
  • 4+ years of experience supporting onboarding or offboarding of civilian, senior civilian, and military-level personnel, including CAC and NIPR account requests, routing security clearance paperwork, and routing ethics paperwork.
  • Exceptional oral and written communication skills.
  • Prior experience in correspondence management, task assignment and tracking, or Executive Secretariat-like functions within the U.S. government.
  • Strong interpersonal skills with the ability to objectively assess requirements and evolve operations to maximize efficiencies.
  • Ability to produce quality work independently or collaboratively to provide solutions to customer issues and solve problems quickly in an ambiguous environment.
Desired Qualifications:
  • 10+ years of professional work experience within OSW or the DoW.
  • 8+ years of direct support to senior-level DoW personnel.
  • Prior experience working with and/or supporting senior-level officials with knowledge of the structure and missions of OSW and its Components.
  • Strong understanding of concierge-level support across competing urgent requirements.

Target salary range: $120,001 - $160,000. The estimate displayed represents the typical salary range for this position based on experience and other factors.
