Role: Senior Collaboration Engineer- M365

Duration: Long Term

Location: NY- Remote (East Coast Only)

Position Summary

Seeking a Senior Collaboration Engineer to support a strategic enterprise initiative focused on identifying, assessing, and mitigating electronic communication channels across our technology vendor landscape.

This individual will be responsible for reviewing existing vendor platforms and applications to determine whether they provide communication capabilities such as chat, messaging, collaboration, file sharing, social engagement, SMS, voice, video conferencing, AI assistants, or other communication functions. The role will partner directly with vendors, business stakeholders, Legal, Compliance, Records Management, and Information Security teams to assess compliance risks and determine appropriate controls.

The ideal candidate combines strong technical expertise in Microsoft 365 and enterprise collaboration platforms with Business Analyst and Project Management skills. This individual must be comfortable driving discussions with vendors, documenting findings, managing project deliverables, and translating technical capabilities into compliance and business outcomes.

Key Responsibilities

Vendor Communications Assessment
  • Inventory and assess existing third-party applications and vendor platforms used across Fitch Group.
  • Engage directly with software vendors and product teams to identify communication and collaboration capabilities within their solutions.
  • Develop and maintain a standardized assessment questionnaire and evaluation framework.
  • Document communication capabilities, retention options, compliance controls, and archiving capabilities for each platform.
  • Identify potential regulatory, recordkeeping, and compliance risks associated with communication features.

Communications Compliance Strategy
  • Determine whether communication features can be:
    • Disabled or restricted
    • Governed through policy and technical controls
    • Archived and retained in accordance with corporate requirements
    • Integrated with Fitch's compliance monitoring and archiving platforms (specifically Proofpoint)
  • Partner with InfoSec, Legal, and Compliance teams to evaluate remediation options.

Microsoft 365 & Collaboration Expertise
  • Serve as a subject matter expert on Microsoft collaboration technologies including:
    • Microsoft Teams
    • Exchange Online
    • SharePoint Online
    • OneDrive for Business
    • Microsoft Copilot
    • Forms
  • Understand native communication capabilities, retention controls, and compliance features within the Microsoft 365 ecosystem.
  • Provide guidance on how communication records are created, stored, retained, and governed across Microsoft platforms.

Business Analysis & Project Management
  • Gather requirements from business, technology, compliance, and legal stakeholders.
  • Facilitate meetings and workshops with internal teams and external vendors.
  • Develop project plans, status reports, risk registers, and executive summaries.
  • Track assessment progress, remediation activities, and vendor responses.
  • Prepare materials and presentations for leadership reviews.

Technical Evaluation & Integration
  • Assess vendor capabilities related to:
    • Message retention
    • Export functionality
    • Journaling
    • API access
    • Archiving integrations
    • Compliance monitoring
    • eDiscovery support
  • Collaborate with technical teams to evaluate integration options with enterprise compliance platforms.
  • Support proof of concepts and technical validation efforts where required.

Required Qualifications
  • Bachelor's degree in Information Technology, Business Administration, Information Systems, or related field.
  • 5+ years of experience in collaboration technologies, Microsoft 365 administration, compliance technology, or related disciplines.
  • Strong knowledge of communication and collaboration platforms, including chat, messaging, voice, conferencing, and collaboration tools.
  • Experience working directly with software vendors and managing technology assessments.
  • Demonstrated Business Analyst capabilities, including requirements gathering, documentation, and stakeholder management.
  • Experience managing projects and coordinating cross-functional workstreams.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple assessments concurrently.

Preferred Qualifications
  • Experience with Microsoft Purview Compliance solutions.
  • Experience with Proofpoint Archive, Proofpoint Capture, Proofpoint Communications Compliance, or similar archiving and supervision platforms.
  • Understanding of SEC, FINRA, recordkeeping, and electronic communications compliance requirements.
  • Knowledge of data retention, eDiscovery, legal hold, and records management concepts.
  • Experience with vendor risk assessments or technology governance programs.
  • Microsoft 365 certifications or related industry certifications.
