Description
Purpose: We are looking for an experienced Senior Benefits and Leave Administrator to be the operational backbone of Avelo's benefits and leave programs. This is a hands-on role for someone who has run benefits before and can own it - administering the plans, managing vendors, keeping the data clean, and resolving the complex issues that come up along the way. You'll be a key member of our People team, and you'll help guide and support all things benefits. Responsibilities: - Lead the day-to-day administration of Avelo's health and welfare plans and resolve complex or escalated cases independently.
- Plan, test, and execute annual Open Enrollment in Paylocity end-to-end, coordinating carrier setup, validating configurations, and ensuring elections process into accurate, effective-dated deductions.
- Maintain ongoing reconciliation of benefit elections against payroll deductions to confirm accuracy of amounts and tax treatment and resolve discrepancies at the source.
- Serve as the day-to-day contact for carriers and vendors, manage invoice and contribution reconciliation, and coordinate closely with the broker on renewals and issue resolution.
- Prepare and manage ACA / 1095-C reporting, Form 5500 filings, and COBRA and HIPAA administration, ensuring all deadlines and regulatory requirements are met.
- Oversee LOA and WC cases (FMLA, ADA, USERRA, STD/LTD, and state leave programs), coordinating with third-party leave and disability administrators and ensuring determinations align with applicable laws and standards.
- Manage day-to-day 401(k) administration, Crewmember communications, and related compliance and reporting.
- Own the accuracy of data across Paylocity and vendor systems, maintain complete records and clean audit trails, and keep SOPs current and built to scale as Avelo grows.
- Identify and implement improvements that make benefits and leave operations more accurate and efficient as Crewmember volume grows.
- Consistently exercise sound, independent judgment, partnering with team members on plan-design, policy, and strategy.
Requirements
- 5+ years of hands-on benefits administration, including owning day-to-day operations, reconciliation, and ongoing compliance.
- Bachelor's degree in a related field preferred; equivalent experience will be considered in lieu of a degree for the right candidate.
- Deep experience with HRIS/benefits systems; Paylocity experience preferred.
- Advanced Excel skills to reconcile and analyze data.
- Strong working knowledge of COBRA, HIPAA, ACA, FMLA, ADA, and USERRA, with direct experience managing 5500 filings, plan audits, and invoice reconciliation.
- Strong writer able to document standards and craft Crewmember communications and able to explain complex benefits, LOA, and WC matters clearly across all levels.
- Exceptional attention to detail and the ability to manage multiple recurring deadlines.
- Open to using AI and automation tools to streamline workflows and improve efficiency.
May perform other responsibilities as assigned. Responsibilities and duties may change when circumstances dictate.
Salary Description
$90,000-$95,000 annually
