POSITION OVERVIEW

The Senior Administrator, CMMS reports directly to the Maintenance Planning & Scheduling Supervisor and is responsible for supporting the implementation of the Company's CMMS, specifically in Maximo, providing guidance and training to end users and the development and management of reports for performance, quality, and continuous improvement.

This position works cross functionally to aid users of all departments in developing or modifying existing practices/programs relevant to CMMS/Maximo and to manage user access and change management within the CMMS/Maximo and other applications that support Maintenance Planning and Execution. Dedication to safety and compliance with policies and procedures are essential, with a focus on equipment reliability and production efficiency of the terminal.

This is a non-DOT position.

RESPONSIBILITIES AND ESSENTIAL DUTIES
  • Attend all scheduled training and support the training and the onboard process for new employees.
  • Manage change management process for CMMS/Maximo data including the identification communication of impact of the change, data collection and modification, preparation, and migration.
  • Support operations with technical changes that require modifications, additions, or removal of existing assets.
  • Evaluate and suggest improvements related to equipment maintenance tasks and reliability.
  • Assist Operations personnel to identify critical spare parts and to build asset/equipment BOMs.
  • Support Preventative Maintenance Program (PM) within the CMMS/Maximo.
  • Assists with the setting up of maintenance schedules for new equipment.
  • Works closely with Compliance group to ensure modifications to PM task lists and schedules are updated in an accurate and timely fashion.
  • Develop and present CMMS/Maximo reports for all data present in CMMS.
  • Remain current in field through self-study and company-sponsored educational opportunities.
  • Comply with all company policies and procedures and adhere to company standards.
  • Must be a team player committed to working in a quality environment.
  • System management to support upgrades, patches, and testing; technical and system issues troubleshooting within CMMS/Maximo
  • Perform compliance audits to support data integrity
  • Perform data analysis within CMMS/Maximo
  • Support planners, supervisors, etc., with work management processes
  • Train end users how to utilize and navigate through Maximo
  • Perform all duties in a safe manner.

KNOWLEDGE

Expert knowledge and understanding of CMMS/Maximo software applications that support planning, work execution, scheduling, and reporting. Basic knowledge of financial and inventory reporting, industry technical standards, safety codes, KPIs and the ability to manipulate source data to produce useful information.

SKILLS
  • Expert proficiency in computerized maintenance management systems.
  • Proficiency in Maximo, Microsoft Word, Excel, Access and Project.
  • Must be a self-starter who can work independently with minimal supervision.
  • Exhibit excellent organization skills, attention to detail, reporting accuracy.
  • Must have good verbal and written communication skills with the ability to interact with all levels of staff and management.
  • Must possess the ability to solve problems, be innovative and to participate effectively as a team member be it team participant or leader.
  • Three to five years' experience managing or the implementation of a CMMS System.
  • Working in or having the knowledge of the functions of maintenance and maintenance planning departments.


EDUCATION AND EXPERIENCE

Education: High School diploma or equivalent is required. Formal education or certification in CMMS applications is highly desirable. Certification in Microsoft office tools is desirable.

Experience: A minimum of 5 years of experience with CMMS software at a functional level. Experience with Microsoft Office and Microsoft Project. Experience with software applications that can transform raw data into properly formatted and coherent reports.

WORK CONDITIONS
  • While performing the duties of this job, the employee is often required to stand, walk, sit, climb stairs, work at height above ground on stairs and catwalks, balance, stoop, kneel, crouch, talk, or hear, smell, type, and write.
  • Must be able to board a ship via a gangway, climb to the top of a tank (200+ steps), scale a vertical steel ladder up to forty feet or more in height, and lift and move objects weighing up to 50 pounds.
  • While performing the duties of this job, the employee will work indoors and outdoors, and be exposed to year-around weather conditions, ocean environment, noise, and occasionally process gases and vapors. There is a considerable number of outdoor activities involved.
  • Specific vision abilities required include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • All responsibilities must be met in a call-out environment, including holidays, weekends, and nights.
  • Must maintain a Transportation Worker Identification Credential (TWIC) card in good standing status.
