  • 40 hours/week, 4 Month Assignment (With possibility of extension)

A leading university is seeking a Senior Administrative Associate to provide advanced administrative and operational support by managing calendars, coordinating meetings and events, preparing communications and documents, supporting financial and office operations, and serving as a key resource for faculty and internal stakeholders.

Senior Administrative Associate Responsibilities:
  • Respond to inquiries, provide guidance on department policies and procedures, coordinate communications, prepare presentations, reports, grant proposals, and other administrative documents, and maintain approved website content.
  • Coordinate conferences, seminars, meetings, and events by managing logistics, vendor relationships, materials production, scheduling, and serving as the liaison between internal and external stakeholders.
  • Manage complex calendars, resolve scheduling conflicts, coordinate travel arrangements in compliance with university and sponsor policies, and support day-to-day administrative operations.
  • Process and monitor financial transactions, maintain office supplies and equipment, coordinate office moves, support facilities and safety activities, track required training, and resolve routine operational issues.
  • Provide administrative support for human resources activities, including transactional processes, assist with faculty affairs, and guide or train student or contingent workers by assigning, prioritizing, and reviewing work to ensure quality and timeliness.

Senior Administrative Associate Qualifications:
  • 3+ years of relevant administrative experience.
  • Associate's degree or higher is preferred.
  • Advanced computer proficiency, including Microsoft Office and other business software applications.
  • Experience with calendar management, event coordination, travel arrangements, financial transaction processing, and administrative support.
  • Ability to work independently, maintain confidentiality, adapt to changing priorities, and effectively support faculty, staff, vendors, and internal stakeholders.

Shift:
  • Hybrid: Monday to Friday, 8:00 am to 5:00 pm.
