Full Job Description
The Senior Administrative Assistant provides high-level administrative and operational support as a shared resource to the Vice President, Communications and Public Affairs and Vice President, Chief Compliance Officer.

This role works closely with senior leaders, executive support staff, internal partners, and external stakeholders to coordinate priorities, manage complex logistics, and support the effective operation of three departments. The successful candidate brings sound judgment, discretion, strong organizational skills, and a proactive approach to managing competing demands in a fast-paced environment.

What You'll Do
  • Provide comprehensive administrative support to the Vice President, Communications and Public Affairs and Vice President, Chief Compliance Officer, including effective management of time, priorities, information, and sensitive matters.
  • Manage calendars and schedules including scheduling meetings, resolving conflicts, coordinating across time zones, and protecting time for priority work.
  • Coordinate leadership meetings, staff meetings, team events, offsites, executive visits, and other engagements.
  • Review and coordinate briefing materials, presentations, correspondence, meeting agendas, and other executive communications.
  • Arrange domestic and international business travel, coordinate changes, and complete monthly expense reconciliation accurately and on time.
  • Support budget and expense management activities, including processing invoices, coordinating purchase-related requests, and maintaining organized financial records.
  • Maintain organized document storage systems, team sites, shared mailboxes, distribution lists, and records in accordance with company practices.
  • Support the effective use of business technology, including Microsoft Office applications, Teams, Webex, approved AI-enabled tools, and other company workflow systems.
  • Coordinate office operations and resolve or escalate facilities, maintenance, information technology, and meeting support needs.
  • Establish and reinforce consistent administrative processes that improve coordination, responsiveness, and service across the supported departments.
  • Handle confidential information with discretion and maintain a high level of professionalism in interactions with employees, leaders, and external stakeholders.
  • Perform special projects and additional responsibilities as assigned.


What You'll Bring- Required
  • Legally authorized to work in the job posting country
  • High school diploma or GED equivalent
  • 5 or more years of experience supporting senior executives, executive offices, or leadership teams
  • Proficiency with Microsoft Office applications and virtual meeting platforms such as Teams and Webex.
  • Strong written communication, proofreading, and presentation support skills
  • Demonstrated ability to manage multiple calendars, deadlines, and stakeholders simultaneously
  • Ability to travel two to three times per year, or as needed, to support onsite meetings and events
  • Experience coordinating executive meetings, events and visitor logistics
  • Ability to manage multiple priorities in a fast-paced, high visibility environment
  • Ability to anticipate needs and adapt quickly to changing circumstances

Compensation Range

This position has a base salary range of $81,900 - $100,100.
