Full Job Description
This position will provide executive-level support to the Division Manager and Division leadership, utilizing initiative, judgment and discretion in researching, analyzing and compiling necessary information to assist the Division Manager in responding to complex issues and compiling special reports. As principal support, the position responds through verbal and/or written communication to a wide variety of stakeholders, including faculty and administration, the Department, the office of the Dean and Vice Chancellor, Hospital Finance/Administration, and multiple outside agencies, boards and organizations. In this key position, the incumbent will provide support for special projects for the Division Manager and Division leadership. Functioning as an important member of the leadership team for the division, this position requires outstanding judgement, the ability to think out of the box and also the ability to represent the department professionally in all modalities.

  • Bachelor's degree in a related field or equivalent experience
  • At least 2 years of complex administrative experience
  • Demonstrated political acumen to work in an executive-level office environment, ability to represent the Executive Leadership Team with tact and discretion to all constituents. Ability to exercise independent judgement and make effective decisions based on knowledge of campus and University priorities, resources and policies.
  • Experience working in an executive level office and providing executive-level analytical support.
  • Excellent interpersonal, written and verbal communication skills to effectively and professionally communicate in person, investigative skills to elicit information needed to clarify inquiries and requests; professional skills to handle sensitive or difficult situations diplomatically, and to work effectively and sensitively with constituents from diverse cultural background and perspectives.
  • Ability to anticipate problems/roadblocks and associated consequences, and taking appropriate initiative on behalf of the Executive Leadership. Personal initiative and ability to accept responsibility for decisions and actions.
  • Accomplished organizational and analytical skills to assume general assignments and independently follow through to successful completion
  • Excellent project management skills to effectively and efficiently manage multiple, complex electronic calendars, experience and strong organizational skills to schedule and coordinate large-scale conference/meetings and special events.
  • Experience and skills to apply various programs using Microsoft Office (in particular Word, Excel, PowerPoint, databases) and software to accomplish assignments, and the ability to learn new software, as necessary.
  • Excellent typing, writing, editing and proofreading skills to quickly and accurately produce correspondence and other written materials
  • Ability to work independently and cooperatively as a team; strong time management and multitasking skills; problem-solve using colleagues, the internet and good judgement.
  • Multi-tasking skills to manage many inputs and ensure follow-through on all activities.
  • Analytical and problem solving skills to review information, draw conclusions, develop and evaluate alternatives/solutions.

Preferred Qualifications
  • Experience planning, coordinating and successfully implementing events
  • Previous experience with Tableau, Clinical Practice Solutions Center, or Aggie Enterprise
  • Demonstrated knowledge of Health System and UCD policies and procedures.
  • Experience applying writing, editing, and proofreading skills to draft communications from beginning to end.

The nationally recognized UC Davis Department of Internal Medicine delivers exceptional health care for adults throughout Northern California. Based in Sacramento, we maintain a primary care and affiliate network that spans 33 counties in the Central Valley, the Sierra Nevada foothills, and the High Sierra. We focus on preventing illness - but when it occurs, we offer specialized and advanced services to diagnose and treat various conditions accurately.

All of our nearly 300 care providers are board-certified primary care physicians of internal medicine. Because our academic physicians also conduct research and teach medical students, residents, and fellows, patients benefit from the latest medical knowledge. Nearly 400 support staff members support our physicians and work closely with more than 140 medical residents undergoing training.
