Scottsdale, AZ - 18700 N. Hayden Rd, Ste 230, Scottsdale, AZ 85255.

What you will be doing:

As we modernize our supply chain planning platform to drive automated demand and supply forecasting, this role focuses on the coordination and execution work that keeps the planning engine - and the broader supply chain - running smoothly.

Job Summary / Purpose
  • The Supply Chain Operations Coordinator is an individual contributor who partners across Purchasing, Operations, Services, and Sales to translate the supply plan into action - surfacing exceptions in the planning system, coordinating vendor purchase orders, supporting the S&OP cadence, and keeping associated master data and cross-functional commitments on track.

Who you will work with:

Partners closely with internal teams including Purchasing, Operations (Warehouse), Product, Services, Sales, Partnerships, and Finance, the Supply Chain Planning function, the Enterprise Apps team, and supply chain leadership. Also works directly with hardware vendors and logistics partners.

Key Responsibilities and Duties
  • Monitor outputs from the planning and forecasting reports, triage exceptions and anomalies, and escalate or resolve issues in partnership with the planning function and Operations.
  • Maintain planning/purchasing data hygiene inside D365 - item attributes, lead times, vendor records, pricing updates, and other master data so the system continues to produce trustworthy forecasts and signals.
  • Coordinate purchase order activity with vendors: place and track POs, follow up on acknowledgments, expedite when needed, and confirm delivery dates back into the system.
  • Own min/max inventory levels - establishing, validating, and adjusting them as conditions change with inputs including, but not limited to, RMA return volumes, pipeline win rates, project installation schedules, and warehouse capacity.
  • Support the Sales & Operations Planning (S&OP) cadence by scheduling sessions, preparing materials, distributing pre-reads, and capturing decisions, action items, and follow-ups.
  • Coordinate logistics for New Product Introduction (NPI) - partnering with Product, Services, and Operations to ensure hardware and accessories are available and sequenced correctly for client installations and launch milestones.
  • Partner with Operations and Services to keep hardware and accessory priorities visible across active projects and client installs.
  • Pull and organize data from the ERP system and related tools to spot trends, surface process gaps, and recommend control improvements to supply chain leadership.
  • Serve as a day-to-day point of contact for vendors and internal stakeholders on order status, planning data corrections, and routine planning questions.
  • Own the vendor meeting cadence: schedule and lead regular check-ins and quarterly business reviews with key hardware vendors and logistics partners, and capture and distribute notes, decisions, and action items.

What You'll Bring:

Skills, experience, and attributes that will make you successful in this role:

Required Qualifications
  • Education: Associate's or Bachelor's degree in Supply Chain, Business, Operations, or a related field, or equivalent combination of education and relevant experience.
  • Experience: 5+ years of experience in supply chain, operations, purchasing, logistics, or a related coordination role.
  • Skills: Strong coordination and follow-through; clear written and verbal communication for vendor outreach and cross-functional updates; comfort working in data, including pulling, cleaning, and interpreting reports in Excel and/or a planning system.
  • Self-starter who can work independently and collaborate cross-functionally across multiple internal teams without dropping balls.

Preferred Qualifications
  • Prior exposure to S&OP processes, demand and supply planning, or ERP/planning systems.
  • Experience working with hardware vendors and purchase order workflows in a technology, distribution, or manufacturing environment.
  • Working knowledge of inventory management concepts and master data management (MDM) practices.
  • Strong Excel skills (pivot tables, lookups, basic data cleanup); familiarity with BI tools (Power BI, Tableau) a plus.

Essential Functions of the job:

The duties and responsibilities described in this job description are intended to represent the essential functions of the position as defined under applicable federal, state, and local labor laws, including the Americans with Disabilities Act (ADA). Potential travel to internal warehouses to learn products and services associated with inventory management.

Competencies and Behaviors
  • Core competencies for this role include collaboration, adaptability, problem-solving, and disciplined follow-through. Illumia's leadership values (below) also shape how we work day to day.

  • Humble: The right leaders for Illumia don't need to own the spotlight - they share credit, define success collectively, and are quick to elevate the contributions of others. This is a company that still writes its story. The leaders who thrive here find energy in building something together, not in being recognized as the smartest person in the room.
  • Hungry: We are not looking for caretakers. We are looking for leaders who are restless about what's possible, self-motivated to close the gap between where we are today and where we need to be, and who are already thinking about the next opportunity before anyone asks.
  • Smart: At Illumia, our leaders must operate across a complex, distributed organization spanning multiple product lines, two legacy cultures, and thousands of customers with competing priorities. Technical skills matter, but the ability to read a room, build trust across functions, and bring people along is what separates a great leader from one who burns the organization out.

This position is classified as Exempt under the Fair Labor Standards Act (FLSA) and applicable state wage-and-hour laws.

What you get when you join our team:
  • Flexible time off to include paid holidays and volunteer time.
  • Robust health, dental, and vision insurance plans on your first day of employment
  • Comprehensive employee assistance program (EAP)
  • Employer-paid life insurance/AD&D/short-term and long-term disability insurance
  • Flexible spending account (FSA) or health savings account (HSA)
  • Matched 401(k)
  • Employee stock purchase plan

Base salary offers for this position may vary based on factors such as location, skills, and relevant experience. Some positions may include additional compensation in the form of bonus, equity, or commissions.
