Description

The Information Technologies is currently seeking a Full-time Limited Term Project Manager / PMO Specialist for approximately 24 months.

The Project Manager / PMO Specialist reports to the Associate Director of the IT Project Management Office (IT PMO). This role is a predominately a Project Manager position for cybersecurity related projects with some PMO Specialist work required to support coordination across the PMO. The position requires working three days in the office per week and may involve occasional peak periods with urgent deadlines.

Summary of Key Responsibilities (job functions include but are not limited to):

Project Manager
  • Project Planning and Scope: Define scope, goals, timelines, and resources.
  • Stakeholder Management: Engage stakeholders, communicate updates, and manage expectations.
  • Risk and Issue Management: Identify risks, develop mitigation plans, and resolve issues promptly.
  • Resource Coordination: Manage internal teams, vendors, and contractors to ensure efficient resource allocation.
  • Budget Oversight: Track project budgets, control expenditures, and ensure alignment with financial plans.
  • Technical Implementation: Oversee design, testing, and compliance with standards and security.
  • Schedule Tracking: Monitor progress against milestones and adjust plans as needed to stay on track.
  • Quality Assurance: Ensure deliverables meet quality and security requirements through reviews and testing.
  • Change Control: Manage scope, schedule, and budget changes through established processes.
  • Documentation and Reporting: Maintain project records, provide status updates, and prepare financial and progress reports aligned with PMO methodology.
  • Post-Implementation: Support transition to operations, conduct training, and review project outcomes.

PMO Specialist
  • Ensure that project managers adhere to documentation, governance, and quality standards.
  • Maintain the IT Portfolio SharePoint site, ensuring project data is accurate and up to date.
  • Develop monthly portfolio status reports and present insights to IT leadership.
  • Coordinate project stage-gate reviews and ensure proper documentation at each phase.
  • Provide training and communications to IT teams regarding project management frameworks and standards.
  • Establish client satisfaction measurement tools to assess project success.

Qualifications / Requirements:
  • University degree, preferably in Computer Science, Engineering, or related field.
  • PMP certification (preferred).
  • ITIL Foundations certification (preferred).
  • Minimum of 5 years of experience as a project manager.
  • Organizational change management skills.
  • Experience within a research environment and working with researchers an asset.
  • Experience within a PMO or governance environment.
  • Proficiency in Microsoft Office Suite, SharePoint, Power BI, MS Project and AI tools.
  • Excellent problem-solving, strategic thinking, and communication skills.
  • Ability to build and maintain relationships with stakeholders at all levels.
