Position Description:
The
Project Manager, Document Controls is responsible for leading, establishing and administering the project-wide document control function throughout the construction lifecycle. The role establishes document-control standards, governance, systems, and workflows and is accountable for ensuring project information is current, complete, traceable, controlled, and accessible to authorized project stakeholders. The position provides functional leadership to the document control team and works with project leadership, JV partners, consultants, trade partners, and the client to ensure compliance with contractual, project and owner document-management requirements.
This role will support the construction of the Sturgeon Data Center project and will initially be based out of the project’s temporary joint venture office in downtown Edmonton, Alberta, before transitioning to the project site located just outside of Fort Saskatchewan, Alberta.
Essential Duties & Key Responsibilities:
- Lead and develop the project document-control team, establishing roles, responsibilities, workload allocation, training, performance expectations and succession/resource requirements as the project scales.
- Establish and own the Project Document Control Plan, including governance, standards, procedures, naming conventions, metadata, revision control, distribution protocols, permissions, retention, and archival requirements.
- Implementation and ongoing governance of ACC and other document-management systems, ensuring workflows meet contractual and Owner requirements.
- Establish KPIs and reporting for RFIs, submittals, drawings, changes, overdue reviews, revision compliance, document quality and turnover readiness; report trends and risks to project leadership.
- Own document-control compliance across the JV and supply chain, including onboarding and training consultants, subcontractors and project personnel.
- Establish controls ensuring only current approved information is available for construction, with obsolete/superseded information appropriately controlled.
- Lead document-control readiness for commissioning, phased turnover and final closeout, coordinating BIM/VDC, Quality, Commissioning and Operations requirements.
- Identify systemic document-control risks and recommend corrective actions/process improvements rather than simply escalating individual deficiencies.
- Identifies gaps, delays, version-control issues and process risks and own the corrective process escalating to leadership when organizational intervention is required.
Qualifications:
- Minimum of 7+ years’ experience with document control on a large commercial, industrial, infrastructure, or JV project
- Demonstrated leadership experience, whether through formal people management or through mentoring, coaching, and developing others in a technical capacity.
- Experience using major document management platforms like ACC, Procore is preferred
- Certificate in a construction related discipline is considered a strong asset
- Experience with various types of construction contracts
- Excellent communication, interpersonal and organizational skills
- Analytical thinker with ability to interpret complex information and recommend innovative solutions
- The ability to read, understand and interpret technical drawings and specifications
- Proficient computer and data entry skills, with regular use of Microsoft Suite of applications
