Support Office Procurement and Contract Lead Permanent Full Time

Position Summary:

Reporting to the Director, Finance (or designate member of the Senior Leadership Team; reporting structure may be adjusted in the future), the Procurement & Contract Management Lead leads the organization's integrated procurement and contract lifecycle function, ensuring that all sourcing, purchasing, and contracting activities are:
  • Strategically aligned with operational and organizational priorities
  • Financially responsible and value-driven
  • Fully compliant with delegation of authority and governance requirements

This role advances Covenant's mission by ensuring that the organization secures high-quality, cost-effective, and reliable goods and services, while maintaining strong stewardship, accountability, and ethical practices. This position will:

Key Responsibilities include, but are not limited to:

Procurement Strategy & Sourcing
  • Lead procurement strategies aligned with organizational priorities
  • Identify sourcing opportunities (RFPs, renewals, vendor consolidation)
  • Evaluate suppliers based on cost, quality, service, and risk
  • Lead commercial negotiations on pricing and service levels


Contract Lifecycle Management
  • Oversee full contract lifecycle (initiation to renewal)
  • Track contract obligations, deliverables, and performance
  • Ensure proactive management of amendments and renewals
  • Maintain a centralized contract repository

Governance, Authorization & Compliance
  • Ensure compliance with Delegation of Financial Authority (DOFA)
  • Validate approvals and required documentation
  • Ensure alignment with organizational policies and audit standards
  • Escalate non-compliance where required

Vendor & Supplier Management
  • Develop and maintain vendor relationships
  • Monitor vendor performance against contracts and SLAs
  • Conduct service reviews and resolve issues

Financial Stewardship & Value Optimization
  • Drive cost savings and value optimization initiatives
  • Support budgeting and forecasting processes
  • Conduct cost analysis and monitor pricing trends

Risk Management & Audit Readiness
  • Identify contractual, financial, and operational risks
  • Maintain documentation to support audit readiness
  • Ensure compliance with retention practices

Stakeholder Collaboration
  • Partner with operational leaders to support service delivery
  • Provide guidance on procurement and contract practices
  • Support cross-functional alignment

Process Improvement & Systems
  • Improve procurement and contract processes
  • Enhance tracking tools and reporting
  • Leverage systems (ERP, SharePoint) for efficiency and compliance

Qualifications:

Education & Experience
  • Bachelor's degree in Business, Finance, Supply Chain, or related field
  • Minimum 5+ years of experience in procurement and/or contract management
  • Experience in contract negotiation, sourcing, and financial analysis
  • Professional designation (procurement, supply chain, or contract management) is an asset

Knowledge & Skills
  • Strong expertise in contract lifecycle management and procurement principles
  • Advanced analytical and financial evaluation skills
  • Proven negotiation and commercial acumen
  • Excellent communication and relationship management skills
  • Ability to lead cross-functional initiatives and influence stakeholders
