We are currently looking to hire a Process Improvement Specialist to join our Corporate team in Kirkland, WA!

This position allows for hybrid work arrangements from our Kirkland, WA office. The on-site schedule will be determined by the hiring manager for this position.

JOB DESCRIPTION

The Process Improvement Specialist at Concentric Advisors is a strategic operational partner responsible for analyzing, designing, and optimizing internal workflows to support efficiency, consistency, and organizational scalability. This role collaborates closely with leadership, cross-functional teams, and external partners to improve processes, enhance service delivery, and build infrastructure that supports Concentric's continued growth. In addition to core process improvement responsibilities, this position will serve as a key contributor to two major operational workstreams: (1) supporting Enterprise Solutions through the development of commercial RFP and RFI processes with SPS Global, and (2) acting as a strategic business partner to the Director of Background Investigations to strengthen program operations and client delivery.

RESPONSIBILITIES
  • Lead end-to-end process improvement efforts across service lines by assessing current workflows, identifying inefficiencies and bottlenecks, and designing solutions aligned with organizational priorities.
  • Facilitate collaboration to ensure redesigned processes are scalable, standardized, and strategically aligned.
  • Develop and maintain standardized process documentation, including SOPs, workflows, training materials, and proposal content.
  • Collaborate with leadership, program directors, and operational teams to understand needs and pain points.
  • Manage the full proposal lifecycle by gathering required inputs, completing client questionnaires, coordinating communication with stakeholders, and ensuring submissions are accurate, compelling, and compliant with requirements.
  • Support the ongoing development and refinement of the Background Investigations program to enhance service quality and delivery.
  • Assist with invoicing, expense report submission processes, and other administrative workflows to increase accuracy and timeliness.
  • Partner closely with the Director of Investigations to address operational challenges, coordinate priorities, and enable the continued growth of the program.
  • Provide proactive recommendations to ensure the program remains responsive, efficient, and positioned to deliver best-in-class client service.
  • Lead training sessions, Q&A sessions, and implementation support to reinforce new standards.
  • Develop metrics and reporting dashboards to measure the impact of process improvements across departments.
  • Present insights and recommendations to leadership to guide strategic decision-making.
  • Partner with the system administrators (e.g., Salesforce, project management platforms) to implement enhancements.

REQUIRED QUALIFICATIONS:
  • Bachelor's degree in a related field (Marketing, Business Administration, Business Analytics)
  • 2-3 years of prior administrative experience
  • Proven experience with confidential and sensitive information
  • Excellent organizational, communication (in-person and virtual), multi-tasking, detail-oriented, analytical, anticipatory, and time-management skills

PREFERRED QUALIFICATIONS
  • 5+ years prior administrative experience
  • Previous experience in Marketing, Contracts, Project Management, and/or Business Development
  • Strong technology skills, including knowledge working in Salesforce, Canva, Linkedin Sales Navigator, and ZoomInfo
  • Prior interaction with Google Workspace and Slack

COMPENSATION & BENEFITS
  • The HSA medical plan covers 100% of the premium for employee-only coverage. The PPO medical plan requires an employee contribution for employee-only coverage. For both plans, Concentric covers a substantial portion of the premium for dependents.
