Full Job Description
Overview

Responsible for the business operations of the division, which includes the Faculty Practice and any off-site practices/clinic locations. Monitors and audits all services provided. Manages and monitors provider schedules, clerical function of the office, budget & financial maintenance, patient experience, and effectiveness of all professional and technical billing within the division. In conjunction with the AVP, establishes staffing procedures; hires and supervises practice staff, and reviews staff productivity. Monitors quality of care provided and patient satisfaction, and costs of faculty practice. Works with insurance carriers and HMO to obtain appropriate authorizations. Initiates and monitors effectiveness of various marketing objectives for the division to ensure future growth and maintenance of market share. Ensures optimal operation of physician practice.

Responsibilities

  • Manages operations of the Practice; acts as liaison between division and other departments within the Medical Center to ensure smooth operation of the division
  • Develops and implements billing policies and procedures for the division, ensuring that they conform with Federal and State regulations and requirements of third-party payors; analyzes payor systems, makes recommendations to increase revenue and monitors compliance
  • Manages all providers' schedules in the appropriate scheduling system. Ensures that all appointments are booked, eligibility checks are performed, and any self-scheduled appointments are confirmed prior to appointment time
  • Manages all procedure scheduling in collaboration with the OR scheduling staff
  • Manages all supplies and equipment ordering in collaboration with the supply chain team, including processing invoices in the online requisition system
  • Reviews fee schedules, prepares applications and manages provider enrollment for participation in HMOs, capitation agreements. Ensures all physicians in practice are enrolled and recredentialed as necessary. Works with new physicians to ensure appropriate onboarding (both hospital credentialing and insurance enrollment)
  • Maximizes reimbursement by ensuring all procedures are billed in a timely manner through oversight of physician document deficiencies. Establishes work flow, reviews work and performs charge reconciliation to ensure all charges are captured
  • Analyzes monthly reports for the division to track collections and expense. Provides expense variance reports at the request of the AVP indicating the reason for expenditure over/under budget. Reviews billing reports on a monthly basis to evaluate trend/patterns and develops plans for improvement
  • Prepares monthly statistics and meets with AVP as needed to review productivity and identify areas that may have an adverse impact on productivity goals
  • Coordinates a process improvement plan for practice with an emphasis on increasing efficiency and decreasing cost
  • Reviews patient satisfaction surveys. Compiles results and reports to practice as necessary, recommending changes to resolve operational issues and improve customer satisfaction
  • Participates in selecting, hiring, and supervising staff in area of responsibility; initiates disciplinary action, including terminations; participates in annual performance appraisal of employees
  • Develops work schedules and assigns tasks as necessary; provides direct daily supervision of all staff members; prepares monitors and takes action when necessary, for all timekeeping, payroll, warehouse and related issues
  • Responds to all complaints pertaining to billing, operational and customer service issues
  • Develops and administers new programs and marketing strategies in an effort to ensure future growth of the division
  • Acts liaison with community and other organizations regarding services provided by the department; responds to community concerns or refers to AVP appropriate
  • Maintains knowledge of technological changes pertaining to equipment; implements and monitors program of preventive maintenance for all equipment located within the practice. Ensures proper functioning of equipment and initiates calls to vendors when repairs are necessary
  • Works with relevant training programs (residents, medical students, and fellowships) to manage administrative functions such as onboarding and ongoing maintenance
  • Maintains established departmental policies and procedures, objectives, quality assurance program, safety, environmental, and infection control standards
  • Adheres to the Medical Center's policy on Conflict of Interest, which includes completion of a Conflict of Interest Certificate on an annual basis


Qualifications

Education:

Bachelors degree in Business orHealth Administration required

Experience:

Minimum of 5 years of experience in a health-related field required, preferably with 2-3 years in a managerial capacity with emphasis on financial and operational management; strong clinical background also required.

Skills:

Knowledge of computerized billing systems, word processing, spreadsheet and data base programs.

Familiarity with reimbursement policies and procedures.

Clinical familiarity with area of specialty.

Good oral and written communication skills.

Good interpersonal skills.

Speaks, reads and writes English to the extent required by the position.

Pay Range

USD $85,000.00 - USD $101,000.00 /Yr.
