Project Management Officer (PMO) Manager - Roles and Responsibilities

A PMO Manager supports senior project leadership and the Project Management Office by overseeing governance, reporting, coordination, and compliance activities that help capital projects run efficiently and align with organizational goals. This is an individual contributor role.

Document Control and Data Management
  • Manage calendars, meetings, and scheduling for PMO leaders or project executives.
  • Prepare agendas, meeting materials, presentations, and briefing documents.
  • Record meeting minutes, track action items, and follow up on deliverables.
  • Maintain organized project documentation, files, and records.

Portfolio Oversight
  • Track project planning activities, timelines, and milestone progress across the capital project portfolio, flagging deviations for PMO leadership review.
  • Coordinate with project managers, stakeholders, vendors, and cross-functional teams to gather accurate, timely status information.
  • Monitor project updates and identify emerging risks, delays, or scope concerns, escalating to PMO leadership rather than directing corrective action.
  • Maintain project dashboards, trackers, and reporting tools, ensuring data accuracy and consistency across the portfolio.

Reporting and Documentation
  • Prepare weekly, monthly, and executive-level project status reports using established PMO templates and formats.
  • Consolidate project metrics, KPIs, risks, and budget updates across the portfolio for leadership visibility.
  • Ensure documentation complies with PMO standards and governance requirements, flagging gaps or inconsistencies as they arise.
  • Maintain and recommend refinements to templates, policies, and process documentation based on portfolio-level experience.

Communication Management
  • Serve as a communication liaison between executives, project teams, and stakeholders, preparing materials and talking points for PMO leadership presentations.
  • Draft professional correspondence, announcements, and meeting summaries on behalf of PMO leadership.
  • Communicate directly with executives on matters of PMO standards, governance requirements, and documentation compliance.
  • Coordinate workshops, steering committee meetings, and project reviews, supporting leadership in preparation and follow-up.
  • Support change management communications when required.

Governance and Compliance Support
  • Monitor and enforce adherence to the organization's Project Governance Policy and framework across the capital project portfolio.
  • Support the ongoing development and refinement of the Project Governance Policy and framework as portfolio needs evolve.
  • Orient project managers and project sponsors to the governance process and their respective roles and responsibilities within it.
  • Support audits, compliance reviews, and governance activities, ensuring alignment with established standards.
  • Track risks, issues, and escalations, ensuring items are logged, routed, and followed through to resolution.
  • Maintain and update project portfolio records and governance logs to reflect current status and compliance.

Financial and Resource Administration
  • Track and monitor budgets, purchase requests, invoices, and expense reporting across the portfolio, flagging variances for PMO leadership review.
  • Analyze portfolio-level financial and resource data as required to support leadership decision-making.
  • Support resource scheduling and onboarding coordination for project teams.
  • Track contract renewals, vendor documentation, and procurement activities, ensuring compliance with PMO standards.

Executive Support
  • Support PMO leadership in prioritizing competing demands and deadlines across the portfolio.
  • Handle confidential project, financial, and governance information with discretion and professionalism.
  • Support strategic initiatives and special projects assigned by PMO leadership.
  • Anticipate portfolio-level administrative and operational needs to improve PMO efficiency.

Expected compensation for this position:

80,000.00 - 90,000.00 USD per year

Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
