JOB SUMMARY

Reporting to the Pharmacy Operations Manager, the Pharmacy Operations Supervisor is responsible for overseeing the overall performance, efficiency, and compliance of non-clinical aspects of pharmacy operations. This role supports the Pharmacy Operations Manager to ensure that pharmacy operations are conducted in accordance with federal, provincial, and local laws, accrediting body standards, and professional practice guidelines. The Pharmacy Operations Supervisor ensures work is appropriately delegated, operational standards are met, and patient care remains at the highest quality. The Supervisor collaborates across internal teams and external stakeholders to support continuous improvement, regulatory compliance, and operational excellence in a specialty pharmacy setting. The Pharmacy Supervisor will be responsible for overseeing all pharmacy staff who report directly or indirectly to this role, excluding pharmacists.

DUTIES AND RESPONSIBILITIES
• Oversee and monitor pharmacy operations to ensure efficient, accurate, and safe prescription management, medication preparation, and delivery of infusion therapy services.
• Ensure compliance with provincial College of Pharmacists regulations, NAPRA standards, USP 797 guidelines, and all relevant provincial and federal legislation.
• Maintain, review, and optimize pharmacy workflows by identifying process gaps, recommending improvements, and supporting operational excellence.
• Collaborate with internal departments to maintain efficient workflow from prescription receipt to patient delivery.
• Address and document operational issues, complaints, and medication errors; participate in investigations and root cause analysis.
• Accurately maintain all legally required records and documentation.
• Lead onboarding, orientation, and competency training for new team members, ensuring compliance with training requirements.
• Ensure compliance with contract standards, clinical protocols, and audit requirements.
• Participate in quality activities and continuous improvement initiatives in line with the company's Quality Management System.
• Maintain confidentiality of patient and corporate information, in accordance with PHIPA and company policies.
• Coordinate daily staffing and workflow coverage, ensuring continuity of care and timely prescription fulfillment
• Manage planned and unplanned absences by proactively adjusting schedules and reallocating tasks to maintain service levels and compliance.
• Serve as a liaison to pharmacy management, supporting communication and collaboration across teams.
• Monitor team performance and adherence to pharmacy standards, providing coaching and identifying opportunities for improvement.
• Participates in hiring and performance management of pharmacy staff in the pharmacy areas.
• Review billing, inventory, and other operational reports to leverage data to make informed decisions.
• Support operational initiatives, including inventory management, pharmacy audits, and implementation of new programs or technologies.
• Participate in workforce planning and hiring activities, offering insights into team capacity, skill gaps, and future staffing needs.
• Lead by example, fostering a culture of accountability, empathy, and excellence in patient-centered pharmaceutical care.
• Participates in proactive Health & Safety activities while performing all duties. Is responsible to notify immediate Supervisor of any Health & Safety risks or concerns. Responsible for completing Accident Reports for all direct reports who injure themselves on the job, within 24 hours of the incident
• Other duties as assigned.

Qualifications

QUALIFICATIONS

  • Completion of a Registered Technician Program and actively licensed in good standing in the province of practice.
  • Minimum of 2 years of Supervisory or Lead position preferably in a hospital or specialty pharmacy setting.
  • Prior experience in supervising or coordinating pharmacy operations, with knowledge of regulatory compliance and audits.
  • Knowledge of Kroll Dispensing software and provincial and private Drug Benefit programs.
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to work independently and ensure effective delegation of tasks.
  • Commitment to continual learning and professional development.
  • Physical ability to perform pharmacy duties (standing, lifting, bending, etc.).
  • Willingness to work flexible hours, including rotating statutory holidays and weekends.
