Full Job Description
Title: Operations Manager

Location: Onsite, Larchmont, NY

Compensation: $75,000.00 - $104,000.00 + 15% Bonus + Full Benefits Day One

The role oversees the end-to-end flow of inventory through the outbound process, ensuring vehicles are prepared and ready for order on time. They manage Ops Specialists' throughput and SLA performance, identify and resolve bottlenecks or at-risk orders, and collaborate closely with the Service Manager to keep service-needed vehicles on track. Additionally, they are responsible for quality assurance of all vehicle readiness.

What you'll do:

Throughput and Order Readiness
  • Own daily vehicle throughput and ensure a consistent number of vehicles are prepared and flipped orderable each day
  • Ensure all upcoming deliveries and pickups are QA ready at least one day before the scheduled date
  • Identify and remove bottlenecks early to protect order readiness and outbound SLAs
  • Coordinate closely with the Service Manager to keep service needed vehicles aligned with target dates

Quality and Listing Standards
  • Own all vehicle readiness QA, including cleanliness, condition checks, and listing accuracy
  • Ensure photo quality meets internal standards and all photos are captured, uploaded, and approved on time
  • Maintain consistent standards across all operations specialists

Labor and Vendor Management
  • Lead and coach all operations specialists and coordinators, including regular one on ones, performance management, time and attendance, and staffing adjustments based on demand
  • Manage third party cleaning and shuttling partners, holding them accountable to SLA performance, quality, and spend targets
  • Control third party spend and report on variance against budget
  • Maintain appropriate staffing levels while staying within labor budget guidelines

Inventory and Auditing
  • Conduct daily fleet scans and reconciliation
  • Complete quarterly inventory audits
  • Maintain vehicle key control systems and regular auditing procedures

Cross Functional Communication
  • Communicate vehicle readiness and risk with the Member Experience Manager consistently.
  • Partner with the Service Manager to ensure parts and service required vehicles remain on track.

Operational Standards
  • Ensure vehicle returns are processed within 30 minutes of arrival
  • Review and audit timecards weekly and ensure accurate associate time logging
  • Uphold Flexcar attendance expectations and hold the team accountable when required

  • Vehicles flipped orderable per day
  • Percent of orders QA ready one day before pickup or delivery
  • Third party cleaning and shuttling spend versus budget
  • Photo quality and listing compliance
  • Team performance, productivity, and attendance
  • Inventory accuracy and audit results

What Drives Success for This Role:
  • 3-5 years of operations management background, preferably in vehicle operations/service.
  • Bachelor's degree in Operations Management or similar fields preferred but not required.
  • Understanding of 6S and Gemba methodology.
  • Strong organizational skills and the ability to review raw data for trends.
  • Ability to cover all hours of the business, including evenings, nights, weekends, and some holidays is required.
  • Willingness to work outdoors (weather and other conditions vary)
  • Ability to carry tools and equipment (up to 50 lbs.)
