DescriptionHampton University's Workforce Development Enterprise (WDE) is seeking an Office Manager to provide administrative and operational support for WDE activities located 2 Eaton Street and to coordinate closely with the administrative staff at the Community Health & Vocational Center (CHVC). The Office Manager will support daily office operations, purchasing and requisitions, scheduling, records management, customer service, program administration, technology systems, and communication across WDE locations.
Examples of Duties- Manage daily administrative operations for WDE's Eaton Street locations, including Suites 1000, 1100, and 1400.
- Serve as the primary administrative point of contact for visitors, students, instructors, vendors, partners, and university personnel.
- Coordinate regularly with the administrative staff at CHVC to maintain consistent WDE processes, records, communications, and administrative procedures.
- Prepare and process purchase requisitions, invoices, vendor documentation, and related procurement records.
- Track purchases, orders, approvals, deliveries, and outstanding procurement items.
- Maintain organized financial and purchasing documentation in accordance with University procedures.
- Manage calendars, meetings, appointments, room scheduling, and administrative requests.
- Prepare correspondence, reports, meeting materials, forms, and other administrative documents.
- Maintain organized electronic and physical records for WDE programs and operations.
- Assist with student and instructor communications, course logistics, attendance documentation, and program records.
- Support onboarding and administrative processing for instructors, contractors, and staff.
- Utilize WDE technology systems for scheduling, records, communications, customer relationship management, and program administration.
- Assist with facility access, room readiness, signage, visitor coordination, and day-to-day operational needs.
- Support events, workshops, training programs, employer meetings, and other WDE activities.
- Maintain professional front-office operations and ensure timely response to telephone, email, and in-person inquiries.
- Perform other duties as assigned by WDE leadership.
Typical Qualifications- Associate degree in Business Administration, Office Administration, Management, Information Technology, or a related field required; bachelor's degree preferred.
- Minimum three years of progressively responsible administrative or office management experience.
- Demonstrated experience preparing and processing purchase requisitions, invoices, and vendor documentation.
- Experience supporting multiple departments, programs, or locations preferred.
- Strong organizational, communication, customer service, and problem-solving skills.
- Experience in higher education, workforce development, training programs, or a comparable environment preferred.
Supplemental Information- Strong technical proficiency and ability to learn and effectively use multiple software platforms and enterprise systems.
- Proficiency with Microsoft Office, electronic recordkeeping systems, scheduling platforms, databases, and web-based administrative systems.
- Ability to work with CRM, learning management, procurement, scheduling, and other business technology platforms.
- Ability to troubleshoot basic computer, printer, audiovisual, software, and office technology issues and communicate effectively with technical support personnel.
- Demonstrated knowledge of purchase requisition and procurement processes.
- Strong attention to detail in processing financial and purchasing documentation.
- Ability to work independently while coordinating effectively with staff across multiple WDE locations.
- Ability to maintain confidentiality and exercise sound professional judgment.
- Strong written and verbal communication skills.
- Ability to organize records, monitor deadlines, track outstanding actions, and follow established University and WDE procedures.
- Ability to provide consistent administrative coverage for Eaton Street operations while collaborating with CHVC administrative personnel.
- Occasional evening or weekend support may be required for WDE programs and events.
