Job Title: Managerial Assistant IV

Location: 319 N. Klein St., Springfield, IL - Sangamon County
Salary: Range from $5,917 to $12,453 monthly - Commensurate with experience.

Overview:

Performs highly responsible administrative duties in the planning, organizing, directing and coordinating of the Construction & Maintenance Program, assists with the coordination of trades and departmental management staff on construction needs, work orders, contractual obligations, etc.; assists with the managing of trades duties and projects with consent of division chief; assists in policy development and needed program changes; prepares complex administrative reports; manages and maintains overtime data and reports; confers with other management staff and other departmental management staff to coordinate program activities and resolve administrative problems; attends departmental meetings. Requires possession of a valid Illinois Driver's License.

Duties and Responsibilities:
  • Assists in the planning, organizing, directing, and coordinating construction and maintenance staff involved in maintenance, repairs, new construction, and renovation projects on the Capitol Complex and facilities under the jurisdiction of the Office; assigns, organizes and distributes work functions for the division ensuring adherence to program policies and procedures; establishes workflow; recommends actions affecting staff; approves work standards and authorizes time off in the absence of the division chief.
  • Assists with managing construction needs, work orders, contractual obligations, etc; assists with establishing and prioritizing projects with consent of the division chief; keeps division chief appraised of all construction agreements, concerns and/or problems related to such; compiles and submits complex administrative reports for such to the Director for review and approval.
  • Manages and maintains all overtime requests, earnings, usage, and year-end cash outs for all Trades.
  • Advises on the effectuation of new/revised/current program policies and practices; assists the division chief in policy development and needed program changes.
  • As liaison for the Division, confers with other management staff and other departmental management staff to coordinate program activities and resolve administrative problems including building upgrades; attends departmental meeting and/or workshop, seminars, etc. as required; keeps management staff appraised of program, policy or procedural changes.
  • Performs other duties ad required or assigned.
