Position Overview:

As the Manager, Work Integrated Learning (WIL) at Ivey Business School, you will be at the forefront of delivering transformative experiential learning for students across three distinct initiatives: the HBA Co-op, the MSc Business Analytics Internship, and the MBA Internship. Reporting to the Director, Corporate Recruiting, you will serve as the lead for internship delivery - managing all aspects of program administration, student support, employer liaison, recruitment logistics, academic coordination and compliance.

This role requires a highly organized, relationship-oriented professional who thrives in a complex, multi-stakeholder environment, exercises sound judgement, and is committed to continuous improvement of student and employer experiences year over year.

You will also delegate recurring administrative tasks to a part-time Program Assistant.

Qualifications:

1. Program Operations & Student Experience
  • Provide leadership in the end-to-end delivery of internship programs, ensuring students are well-supported and program requirements are met.
  • Develop and execute program timelines, materials, and student onboarding processes, ensuring consistency across cohorts.

  • Oversee cyclical student communications throughout the internship lifecycle, including preparation, recruitment, employment, and completion.
  • Provide managerial guidance to students on program requirements, timelines, and job search strategies, liaising with the Career Coaching team for additional support.
  • Monitor student progress and internship outcomes, proactively addressing gaps in documentation or milestone completion.
  • Coordinate key milestones such as application deadlines, interviews, offer acceptances, and internship start dates.
  • Delegate cyclical tasks to the part-time Program Assistant and provide oversight to ensure timely completion.


2. Employer Engagement & Recruitment Process

  • In close collaboration with the Corporate Recruiting team, build and manage relationships with corporate partners and lead all aspects of the internship experience with the corporate partners.
  • Act as the primary liaison for corporate partners post-internship, ensuring a positive employer experience.
  • Collaborate with the Career Management operations team on the internship posting process, helping to ensure postings are accurate, inclusive, and aligned with program standards.
  • Provide ongoing support and communication to internship supervisors and students throughout the internship cycle, proactively addressing questions, resolving issues, and ensuring a positive and successful internship experience.


3. Program Evaluation & Continuous Improvement

  • Lead efforts to evaluate internship programs and identify opportunities for enhancement.
  • Design and administer evaluation processes for students and employers, collecting feedback on program effectiveness.
  • Collaborate with Career Management's Data Insights and Analyst team member to analyze feedback and outcomes to inform continuous improvement initiatives.
  • Coordinate post-cycle debriefs with internal teams, identifying lessons learned and planning for future cohorts.
  • Collaborate with marketing teams to highlight student success stories and enhance program visibility.


4. Academic & Faculty Coordination

  • Collaborate with faculty and academic teams to integrate internships into the curriculum and ensure alignment with academic standards.
  • Partner with Faculty Directors and Program Directors to align program components with academic deliverables, including syllabi, assignments, and evaluation criteria.
  • Maintain and update course materials and learning platform content for internship-related courses.
  • Lead weekly educational sessions for MSc BA students (Friday classes), including logistics, guest/alumni outreach, and moderated discussions.
  • Administer mid-term and end-of-term supervisor evaluation surveys, compiling results for faculty review.
  • Ensure students complete academic deliverables related to their internships; flag concerns to academic teams as needed.


5. International Student & Compliance Support

  • Ensure international students can participate in internships without disruption by managing regulatory compliance and permit processes.
  • Prepare work permit support letters for international students; respond to requests promptly.
  • Collaborate with Western International to ensure international students have access to all requisite information (e.g., visa-permit requirements, timelines, and processes).
  • Ensure work permit submissions and application statuses are tracked, and delegate reminders and follow-up as needed.
  • Maintain accurate records of student eligibility, documentation status, and permit submissions.


Candidates must be willing and able to travel for a minimum of five days per month as part of this role.

Qualifications

Education & Experience

  • Bachelor's degree in a relevant field (e.g., Business Administration, Human Resources, Education, or related discipline); Master's degree preferred
  • Minimum of 3 years of relevant professional experience in program management, student services, or corporate relations
  • Proven track record in managing complex, multi-stakeholder programs with cyclical components


Skills & Abilities

  • Proficiency with learning management systems (e.g., Learn or Canvas) for program administration.
  • Experience with recruitment platforms 12Twenty to manage internships, student applications, and employer engagement.
  • Strong organizational abilities to manage complex, multi-stakeholder programs effectively.
  • Advanced verbal communication skills for liaising with corporate partners, faculty, staff, and students.
  • Analytical skills for evaluating program feedback and outcomes to inform continuous improvement.
  • Proven relationship-development skills to effectively and enthusiastically persuade employers to participate in Ivey's WIL programming.
  • Demonstrated desire to take initiative to identify new opportunities and iterate programs.
  • Professional, clear, and persuasive written communication skills.
  • Proven ability to analyze and interpret information to make sound recommendations.
  • Effective utilization of AI tools as a research and problem-solving partner, leveraging AI to analyze program data, generate insights, and streamline operations such as communication workflows, recruitment strategies, and feedback analysis.
  • Proficiency in relevant software tools (e.g., MS Office, 12Twenty, Qualtrics, LinkedIn)
  • Knowledge of co-op work permit processes and compliance requirements (preferred)
