Overview

Summary:

The Management Analyst acts as liaison to other managers and staff within the organization and provides accurate advice on procedures, reports, requirements, and other matters necessary to implement the supervisor's policies, directives, and instructions.

Position works with in the Bureau of Consular Affairs (CA) Office of Public and Congressional Affairs (CA/P).

Backs up the CA/P Special Assistant and ensures a seamless and timely flow of information, policy guidance and advice between the CA Front Office, other CA directorates, the Department, and members of the CA/P staff.

Responsibilities

Essential Job Functions:

  • Assists the units within CA/P on a variety of substantive tasks—for example, writing, organization, editing, and note taking—while drawing on basic knowledge base of civics and federal government operations.
  • Liaises between other directorates and CA/P leadership on reporting requirements, compliance audits, and other matters, and prepares initial drafts of responses to such requests.
  • Backs up basic functions of the Special Assistant, including updating and maintaining the SharePoint site for CA/P, tracking and editing events, adding and removing users, and creating and uploading documents according to formatting and clearance guidance set by the CA Front Office and the Department. Further, ensures the requisite clearances and timely responses by the responsible members of the CA/P staff on formally tasked action items.
  • Proofreads documents for accuracy and completeness; indicates and corrects any errors; ensures the use of correct format according to set guidance.
  • Edits letters, internal policy, and operational documents; composes letters and reports; reviews correspondence for accuracy and completeness; prepares public presentation outlines; and develops standard or form letters and replies to inquiries.
  • Assists CA/P staff in logistical requirements for all public, press, and Congressional outreach events, including but not limited to webinars, cross-border trips, domestic outreach trips, seminars and conferences, and other in-person or virtual events.
  • Provides support to the Congressional Affairs Unit (CAU):
    • Assists CAU Outreach Officer in logistical requirements for all Congressional outreach events, including hosting webinars, cross-border trips, domestic outreach trips, and other in-person educational seminars.
    • Crafting Bio Cards for Members who ask for briefings most frequently; incorporating case inquiries from Consular on the Hill (COTH).
    • Updating travel.state.gov/congress website (internal side), ensuring post contacts are updated frequently and work with Country Desks to update Foreign Embassies in D.C./U.S.
    • Maintaining the COTH Hill and state/district staff distribution lists and press/social media POCs distribution list for Members.
  • Provides support to the Press Team:
    • Organizing CA-Press SharePoint documents.
    • Inputs CA interview requests into GPA reviews
  • Serves as back-up to the Administrative Assistant in creating travel authorizations and vouchers using E2 Solution, orders supplies, submits work orders, reserves conference rooms, answers telephone calls, and greets guests at front desk.
  • Provides administrative support to all other Units, Teams, and members of CA/P as necessary.
Qualifications

Necessary Skills and Knowledge:

  • Working knowledge of basic Microsoft products (Word, Excel, PowerPoint)
  • Strong writing and proofreading skills.
  • Ability to set timelines and adhere to deadlines while obtaining necessary input and approvals, and ability to supervise others in doing the same as needed.
  • Excellent communication and interpersonal skills required to work in a team setting and interact with other coworkers, supervisors, Department of State personnel, and other agencies.

Minimum Qualifications:

  • Must be a U.S. citizen and possess or obtain/maintain a minimum a SECRET clearance.
  • Three or more years9 experience working in federal government or other large organizations in more than a purely administrative role.
  • Bachelor9s degree in any field.

Pay and Benefits

Salary Range:$87,000 - $93,000 annually
