Full Job Description
We are searching for an Legal Executive Assistant to support our General Counsel and our broader Legal team.

Position Description

Oklo is seeking an experienced, dynamic, technically capable Legal Executive Assistant to support our General Counsel, and also to provide comprehensive administrative and operational support to our entire Legal team. You will help our General Counsel with calendar management, scheduling meetings, helping to prepare content and materials, supporting notary or apostille needs, etc. But you will also support the broader Legal team, including helping to plan and organize team travel and offsites, overseeing outside counsel billing and accruals, supporting new team member onboarding, and providing other administrative and operational support.

This role demands a combination of administrative prowess and the agility to navigate a fast-moving company in order to support our lean Legal function as it continues to scale to support Oklo's rapid growth. We are looking for someone who is creative and can leverage AI and other tools to provide support at scale.

Discretion is essential to this role. The Legal Executive Assistant will regularly handle highly confidential and sensitive information relating to the important matters being handled by the Legal team. Given the significance and scope of this work, the successful candidate must demonstrate sound judgment and treat confidentiality, compliance, and accountability as fundamental responsibilities of the position.

This is a remote US-based role, but you must be able to travel to our HQ twice per quarter. Given that our General Counsel is based in California, there is a slight preference for this person to be located in the Pacific time zone.

Specific responsibilities may include:
  • Provide comprehensive support to the General Counsel and team, including calendar management, coordinating meetings, and handling travel arrangements;
  • Coordinate meeting logistics, prepare agendas, and support cross-functional communications;
  • Prepare and edit presentations, reports, and other critical documents, ensuring accuracy and timely delivery;
  • Help plan and arrange for team meetings and offsites, including planning travel arrangements, events, and content;
  • Support with legal knowledge management, including updating internal wiki pages and other company-wide materials;
  • Manage legal billing operations, including outside counsel invoice processing, vendor setup, and e-billing system management;
  • Assist with departmental budgeting, expense tracking, and quarterly financial accruals in coordination with the finance team; and
  • Facilitate the seamless onboarding of new legal team hires, including equipment setup, system access, and welcome training.

Minimum Qualifications:
  • Bachelor's degree or equivalent experience
  • 5-8 years proven experience as an assistant or in a similar role supporting an in-house General Counsel or broader Legal department
  • Proven experience managing calendars, executive scheduling, and travel logistics
  • Familiarity with outside counsel billing practices, and e-billing platforms
  • Strong technical proficiency with the ability to quickly adapt to new tools and software, including Google Suite, Slack, Box, Atlassian, Microsoft Office Suite, and Adobe Acrobat to make tracked changes, add redlining/comments to documents, and create PDFs
  • Exceptional organizational skills and attention to detail
  • Excellent communication skills, both verbal and written
  • Ability to work in a fast-paced environment, multitask, and prioritize tasks
  • A proactive mindset, with the ability to anticipate needs and challenges

About Oklo travel requirements:

Oklo requires remote employees to travel to headquarters (Santa Clara, CA) twice a quarter annually, based on business or team needs, including attendance at team meetings, off-sites, and other company events or gatherings. For the first two weeks of onboarding, employees are required to be in person at headquarters in Santa Clara, CA.

About Oklo compensation:

Salary: $70,000-$110,000
