OverviewNavitus Health Solutions is seeking a Lead, Event Operations to join our team!
TheLead, Event Operationsis responsible for theend-to-endplanning,coordination,and executionofeventsand brand building conferencesacross thecalendar year.This role leads the development and delivery ofcomprehensiveconferenceandevent plans and execution strategies,includingsecuring exhibit,meeting, and eventspace, coordinating booth property design, logisticsand shipping,ensuringaccess toeventmaterials (e.g.,brochures, briefing materials, signage.), developingand overseeingevent staffing plans; producing post-eventand after-action reports, and providingoveralllogistical supportto ensure successful, high-quality event execution.
TheLead, Event Operationsis also responsible forevaluating,recommending, and managingsponsorships and symposium opportunitiesin partnership withinternalstakeholderstoadvancebusiness objectives. The positionholds accountability forforecasting, managing, and optimizingan annual conference budgetwhile consistentlydeliveringon timeand withinapproved financial parameters.Regularly interact with Csuite executives and crossfunctional leaders to support planning, execution, and alignment of event initiatives, exercising sound judgment to make decisions within established guidelines and resolve issues using standard and recognized operating methods.
Responsibilities
How do I make an impact on my team?
- Own end-to-end execution strategy and logistical for in-person, hybrid, and virtual conferencesandevents,ensuring alignment with brand and business objectives.
- Developevent-specificplansthatdefinekey messages, exhibit designandlayout, digital content strategy,audience engagement concepts, andhigh value sponsorship or advertising opportunities,while leadingpre-event planning to ensurestakeholder andcustomer alignment.
- Provide overall direction and oversightofall conference and eventlogistics, including budgeting,venuebooking, food and beverage, branding and signage, contentdevelopment, event production, supply ordering, audiovisual coordination, travel logistics, conference materials, and security.
- Create andmaintaindetailed event execution documentation,includingrun-of-showschedules, logistics guides,andonsite playbooks, and ensure timely communication and alignment with internalteamssupportingor attendingevents.
- Oversee the development and management ofeventregistration platforms, landing pages,and relatedcommunications in accordance with corporate branding standards.
- Managefinancialperformancefor assigned conferences and eventsbyforecasting, tracking, andcontrollingexpensesapplying negotiation, budgeting, and vendor managementpracticesto optimizespendand maximize value.
- Lead strong cross-functional and external partnershipsbyestablishing planning cadences with internal stakeholders and external partners todefineconference objectives, experience criteria, and execution strategiesthat supports business priorities and stakeholder goals.
- Own post-event tasks,includingexpensereconciliation,eventevaluation, and reportingofresults, insights,and recommendations.
- Define, track,and report on keyperformancemetrics for each conference or event, including attendeefeedback andsurveys, engagement and participation data,andeffectivenessmeasures and ROI,using insights to drivecontinuous improvementinformfuture eventsplanning.
- Implement industry trends and bring new resources, tools, and ideas to team to continuously improve and elevate the attendee/stakeholder experience and strengthen the overall event strategy.
Qualifications
Whatourteamexpectsfrom you?
- Bachelors degree in Communications, Marketing, ora related field,or equivalent work experience required.
- 5+ yearsof progressive experience planning, coordinating, and executing corporateconferences, trade shows,and large-scale events, including in-person, hybrid, and virtual formats required.
- Demonstrated experience owning endtoend event execution, from strategic planning and preevent alignment through onsite delivery and postevent evaluationrequired.
- Proven experience managing multiple concurrent events across an annual calendar, balancing competing priorities, timelines, and stakeholdersrequired.
- Demonstrated experiencedeveloping and managing eventbudgets, includingforecasting, expense tracking, vendor negotiation, and delivering events within approved financial parameters required.
- Demonstrated experience managingevent plans and execution documentation, such as run-of-show schedules, logistics plans, booth management, vendor support, onsite playbooks, and post-event reporting required.
- Proven ability to analyze event performance and ROI, including defining metrics, evaluating engagement and outcomes, and applying insights to improve future events.
- Experience staying current with industry trends, tools, and best practices and applying innovative approaches to enhance attendee and stakeholder experiencepreferred.
- Experience with HubSpot or other marketing automation tools preferred.
