This role can be based either in our Chicago, New Jersey or Denver office on a remote basis.
Position Summary
The Patent Prosecution and Trademark Docketing Specialist is responsible for handling the Intellectual Property docketing for a multi-national law firm, working directlywith IP attorneys, foreignfiling specialist(s), and administrative assistantsto clear dockets,generatereports,and ensurealldeadlinesand remindersare fulfilled. Thispositionwillsupportall aspectsof U.S.andforeignpatentprosecution, trademarks, copyrights,domainnames,and TTABinorderto accurately identify docketing deadlines for the benefit of our clients and the firm.
Key Responsibilities
Responsible for quality control, daily maintenance and operation of the firm27s docketing system
Processes both electronic and paper mail
Reviews mail and specific relevant docket deadlines and inputs into docketing system
Notifies attorneys that items have been properly docketed
Tracks updates from the PTO that may impact the IP department
Ensures all docketing items are timely and accurately processed in accordance with firm policies
Performs other special projects within the department as assigned

Recognizes confidential, sensitive, and proprietary information and maintains confidentiality
Must maintain a high level of workflow and quality controls in multi-office locations
Candidate should be flexible to work overtime as needed
Education & Prior Experience
Six plus years of substantive IP docketing experience at a major law firm or corporation required
Extensive knowledge of U.S. and foreign patents, PAIR, Trademarks and PCT
Bachelor27s Degree preferred
Must exhibit strong substantive knowledge of docketing requirements
Must have extensive knowledge of U.S. and foreign patents, PAIR, Trademarks and PCT
Technology
Proficiency in Windows-based software, and Microsoft Office Suite, including Word, PowerPoint, Excel, Adobe Acrobat and Outlook
Exceptional computer skills with the ability to learn new software applications quickly
Possess a working technical knowledge to support the firm27s docketing system databases
Demonstrates a basic understanding of artificial intelligence (AI), including core capabilities, limitations, and importance of data privacy, accuracy, verification, and ethical considerations within a professional services environment
Familiarity with or willingness to learn AI platforms (e.g., Microsoft Copilot, ChatGPT, or similar tools) and incorporate them responsibly into day-to-day workflows to enhance daily work tasks as appropriate and/or directed
Proactive approach to learning and adapting to emerging AI and related technologies and contributes to a culture of innovation
The expected pay range for this position is:
CHI/DEN: $41.03 to $45.13 per hour
NJ: $43.96 to $51.65 per hour
Actual pay will be adjusted based on experience, location, and other job-related factors permitted by law.
