Full Job Description
Human Resources and Finance Director Status: Full-Time, Exempt, In-Person Based in Springfield, VA (Confidential, Non-Bargaining Unit Position) Reports to: President Works closely with: Department Leads (Representation, Organizing, Communications, Political) Position Summary This role leads high-level administrative, financial, and human resources support to ensure the efficient operation of FCFT's HR and Finance functions. The position requires strong discretion, accuracy, and the ability to manage multiple complex workflows across departments. Key Responsibilities Team Supervision & Oversight • Supervise and oversee the work of the Operations and Finance Support Specialist and Membership Data Specialist, ensuring accuracy, timeliness, and alignment with organizational priorities. • Provide guidance, training, and performance feedback, while supporting professional development and maintaining accountability across finance, operations, and data management functions. Executive & Administrative Support • Provide confidential administrative support to the President • Serve as the first point of contact for HR and Finance-related inquiries • Draft correspondence related to employee lifecycle and labor relations • Maintain HR files, records, and document systems (physical and electronic) following best practices for document retention and safeguarding confidential information • Ensure templates, forms, and administrative systems are up to date Finance & Fiscal Operations • Own and manage day-to-day financial operations for the organization • Lead accounts payable, including invoice review, expense reimbursements, and receipt reconciliation • Record and categorize all income and expenses, including proper coding for reporting requirements (e.g., IRS Form 990 where applicable) • Process accounts receivable, including deposits, verification, and recording • Perform regular bank reconciliations and ensure alignment between bank statements and internal record • Serve as the primary point of contact for all banking setup activities, including requesting and providing bank details and verifying any changes. • Maintain accurate and up-to-date financial reporting systems and ledgers • Resolve employee, and invoice-related financial queries • Produce per capita reports • Support grant research, applications, documentation, and reconciliation • Support monthly and quarterly financial reporting for leadership review • Assist accountant with payroll reconciliation and financial reporting • Ensure financial documentation is audit-ready and properly organized • Perform other finance-related duties as assigned Human Resources Support • Support recruitment processes, including job postings, scheduling interviews, reference checks, and offer letters • Manage HR communications and HR email inbox • Assist with onboarding, benefits enrollment, and employee support • Support HR systems and personnel data management • Process biweekly payroll, including leave balances, deductions, and reimbursements • Provide general HR administrative support as needed Organizational Systems, Infrastructure & Project Management • Design, implement, and continuously improve HR and Finance administrative systems, workflows, and internal infrastructure • Build and maintain scalable operational processes to support organizational growth and long-term sustainability • Develop and manage project management systems to track cross-departmental work, deadlines, and priorities • Create standardized procedures, templates, and documentation to improve consistency and efficiency across HR and Finance functions • Support the integration and optimization of digital tools and systems used for HR, finance, and operations • Lead or coordinate operational projects that improve internal systems, data accuracy, and organizational effectiveness • Ensure systems are accessible, well-documented, and usable across staff roles Required Qualifications • Minimum of 6-8 years of professional experience in office administration, HR, finance, or a related field with at least 3 years in a supervisory capacity • Demonstrated experience supporting either HR, finance, or payroll functions • Strong proficiency in Microsoft Office Suite (especially Excel, Word, and Outlook) • Experience with payroll, accounting, or financial systems (or ability to quickly learn systems such as QuickBooks and Paychex Flex) • High level of accuracy, attention to detail, and data integrity • Strong organizational and time management skills with ability to manage competing priorities • Excellent written and verbal communication skills • Proven ability to handle confidential and sensitive information with discretion • Ability to work independently and collaboratively in a fast-paced environment • Ability to meet deadlines under pressure and adapt to shifting priorities • Bachelor's degree or equivalent combination of education and experience Preferred Qualifications • Experience working in a union, nonprofit, or membership-based organization • Familiarity with IRS Form 990 reporting requirements, audit preparation, and other union financial compliance processes • Direct experience with payroll administration and reconciliation processes • Experience with HR systems, onboarding workflows, and benefits administration • Experience using QuickBooks, Paychex Flex, or similar finance/payroll systems • Familiarity with labor relations, collective bargaining environments, or union operations • Strong systems-building mindset with experience improving administrative processes • Experience working across both HR and finance functions in a single role Salary and Benefits The starting salary for the position is $89,000-$105,000, commensurate with experience. Benefits include paid health benefits including medical, dental, and vision; paid time off; phone stipend; and mileage and expense reimbursements. Employees are eligible to participate in the 401(k) retirement plan after six (6) months of employment; the organization will match employee contributions up to 6%.
