This role exists to make sure no lead goes cold, no follow-up gets missed, and our agents always know exactly where to focus. You're the engine behind the operation - owning the CRM, the lead pipeline, the nurture sequences, and the reporting that keeps everyone accountable.

You won't be selling. But you will be the first voice many leads hear. You'll answer questions, field calls on behalf of Claire and Sam, and represent the brand in every interaction. The backend work matters - and so does how you show up when a real human is on the other end.

Responsibilities

CRM Ownership & Pipeline Management

This is the core of the role. Everything else depends on how well this runs.
• Own Follow Up Boss end-to-end - configuration, source tagging, lead routing, Smart Lists, action plans, and stage progression
• Build and maintain a pipeline that gives leadership real-time visibility into every lead, at every stage
• Design systems and automations that make dropped leads structurally impossible
• Define lead stages, handoff criteria, and follow-up SLAs - and hold the team to them
• Translate pipeline data into clear daily and weekly priorities for agents - who to call, who to follow up with, and why
• Flag stalled leads, missed follow-ups, and pipeline gaps before they become problems
• Build dashboards that make performance visible and decisions obvious

Email & SMS Nurture

You'll have strategic support on the marketing side, but you need to be able to take direction and execute independently. Knowing how a funnel should work and having the discipline to run it are both required.
• Build and manage nurture sequences for every stage of the funnel - cold leads, warm prospects, active buyers and sellers, and past clients
• Own the follow-up strategy at each engagement level: what gets sent, when, and why
• Execute with consistency - the best sequence in the world doesn't work if it isn't running
• Track performance and optimize based on open rates, response rates, and conversion data

Lead Generation Systems
• Own the systems behind lead capture on social - not the content, but the infrastructure that turns audience into pipeline
• Manage and optimize paid channels and listing platforms to drive consistent inbound volume
• Leverage AI tools to sharpen lead prioritization and outreach timing

Lead Communication & Brand Representation
• Serve as a first point of contact for inbound leads - answering questions, qualifying interest, and keeping momentum alive
• Take calls on behalf of Claire and Sam when needed, acting as a trusted extension of the team
• Communicate in a way that reflects the O'Connor brand - warm, knowledgeable, and never salesy
• Know every active and potential client well enough to speak to their situation without being briefed
