Description

The Head of Purchasing provides strategic leadership for purchasing, sourcing, vendor partnerships, and cost optimization across El Encanto. Reporting to the Director of Finance, this role is responsible for developing and executing a property-wide purchasing strategy that strengthens financial performance while supporting the quality, service standards, and operational needs of the hotel.

This position extends beyond the traditional administration of purchasing activities. The Head of Purchasing serves as a strategic business partner to Finance and hotel leadership, using purchasing data, market intelligence, vendor relationships, forecasting, and thoughtful sourcing strategies to identify opportunities for greater efficiency, stronger purchasing power, improved margins, and long-term value.

MAIN DUTIES AND RESPONSIBILITIES:

Strategic Purchasing & Cost Optimization
  • Develop and execute a comprehensive purchasing strategy aligned with the hotel's financial objectives, operational priorities, and anticipated business needs.
  • Analyze hotel-wide purchasing activity, spending patterns, pricing, consumption, and vendor performance to identify opportunities for meaningful cost savings and greater purchasing efficiency.
  • Partner closely with the Director of Finance to establish purchasing goals, cost-saving initiatives, forecasts, and measurable financial objectives.
  • Develop measurable purchasing and cost-efficiency initiatives and regularly communicate results, opportunities, and risks to Finance and hotel leadership.


Vendor Partnerships & Sourcing
  • Lead strategic sourcing, competitive bidding, vendor evaluation, contract negotiations, and supplier selection for significant hotel purchases and recurring expenditures.
  • Develop strong vendor partnerships that provide El Encanto with competitive pricing, favorable terms, reliable service, appropriate quality, and access to new products and purchasing opportunities.
  • Regularly evaluate existing suppliers and agreements to ensure they continue to provide appropriate value and meet the evolving needs of the hotel.
  • Reduce unnecessary vendor fragmentation and identify opportunities to consolidate purchasing where doing so improves pricing, efficiency, service, or purchasing leverage.
  • Maintain appropriate sourcing alternatives for critical goods and services to reduce operational and supply-chain risk.
  • Ensure purchasing decisions appropriately balance financial responsibility with El Encanto's standards for quality, presentation, operational effectiveness, and guest experience.


Financial Partnership & Business Growth
  • Serve as a strategic purchasing partner to Finance, Food & Beverage, Rooms, Housekeeping, Engineering, Spa, and other hotel departments.
  • Collaborate with department leaders to understand upcoming operational needs, capital projects, seasonal demand, menu or program changes, and other business initiatives that may impact purchasing.
  • Support the annual budgeting and forecasting process by providing purchasing assumptions, market intelligence, vendor pricing projections, and anticipated cost changes.
  • Develop reporting and key performance indicators that measure purchasing effectiveness, including cost savings, purchasing trends, vendor performance, contract compliance, and realized financial impact.
