Position Summary:

Responsible for the strategic and operational management of fleet assets, including leadership and supervision of mechanics and fleet staff, project and change management, maintenance operations, parts inventory control, budget administration, and performance reporting. Develop and implement fleet initiatives that enhance service delivery, operational efficiency, cost control, asset utilization, safety, and regulatory compliance while leading cross-functional teams, managing vendor relationships, and driving continuous improvement.

Compensation: $105,000-$115,000 (Annual)

Essential Functions:

The Fleet Manager may be assigned one or more duties. These duties may include, but are not limited to, the following:
  • Direct, manage, and oversee all fleet maintenance operations, including preventive maintenance, corrective repairs, inspections, diagnostics, warranty administration, parts management, and vehicle replacement planning.
  • Establish maintenance priorities and allocate personnel and resources to maximize fleet availability while minimizing downtime and service interruptions.
  • Develop, implement, and maintain fleet maintenance policies, procedures, standard operating procedures, quality standards, and preventive maintenance programs.
  • Manage the complete lifecycle of fleet assets, including vehicle specification, procurement, deployment, maintenance, replacement, and disposal.
  • Ensure all fleet vehicles and equipment comply with applicable federal, state, local, and company safety and regulatory requirements, including OSHA, California Highway Patrol (CHP), California Department of Motor Vehicles (DMV), Orange County EMS (OCEMS), Los Angeles County EMS (LACEMS), Weights and Measures, environmental regulations, and manufacturer standards.
  • Plan, coordinate, and oversee all required inspections, audits, certifications, and regulatory compliance activities, including CHP, OCEMS, LACEMS, Weights and Measures, and any additional inspections assigned by executive leadership.
  • Conduct routine quality assurance audits of maintenance repairs, preventive maintenance inspections, documentation, and technician workmanship to ensure compliance with company standards and industry best practices.
  • Investigate maintenance failures, recurring mechanical issues, vehicle incidents, and equipment deficiencies to determine root causes and implement corrective and preventive actions.
  • Develop and administer annual operating and capital budgets by forecasting maintenance, fuel, parts, tooling, equipment, and replacement costs; monitoring expenditures; preparing financial reports; and identifying opportunities to improve operational efficiency and reduce costs.
  • Supervise, coach, develop, and evaluate fleet personnel, technicians, and support staff by establishing performance expectations, conducting performance evaluations, administering corrective action when necessary, and promoting a culture of safety, accountability, teamwork, and continuous improvement.
  • Conduct or coordinate technical, operational, regulatory, and safety training programs to maintain workforce competency and regulatory compliance.
  • Collaborate with operational leadership to ensure fleet readiness, vehicle availability, and service levels necessary to support emergency medical services operations.
  • Establish and maintain productive relationships with vendors, manufacturers, contractors, and service providers; negotiate pricing and service agreements; monitor vendor performance; and administer warranty claims.
  • Oversee fleet purchasing, inventory control, tooling, shop equipment, parts procurement, and warehouse operations to ensure efficient inventory management and cost-effective utilization of resources.
  • Direct fleet-related projects, including vehicle replacement programs, technology implementations, facility improvements, fleet expansion initiatives, and operational improvement projects by managing scope, schedules, budgets, resources, and stakeholder communications.
  • Design, implement, monitor, and continuously improve fleet customer service, quality assurance, performance management, and Continuous Quality Improvement (CQI) initiatives as part of the organization's Quality Management Program.
  • Oversee fleet administrative functions, ensuring accurate maintenance of vehicle records, registrations, insurance documentation, permits, compliance files, maintenance histories, and fleet management system data.
  • Ensure fleet utilization, vehicle assignments, fuel card administration, repair documentation, maintenance records, invoices, and service histories are accurate, complete, and maintained in accordance with company policy and regulatory requirements.
  • Monitor fleet performance through key performance indicators (KPIs), maintenance metrics, asset utilization, repair costs, downtime, warranty recovery, fuel consumption, and budget performance, and prepare reports for executive leadership.
  • Ensure compliance with all applicable federal, state, and local employment laws, including the Americans with Disabilities Act (ADA), Equal Employment Opportunity (EEO), Affirmative Action, wage and hour laws, and all company policies and procedures.
  • Respond to major fleet emergencies, equipment failures, regulatory inspections, and operational incidents requiring management oversight.

Additional Duties:

The Fleet Manager may be assigned one or more additional duties. These duties may include, but are not limited to, the following:
  • Assist with the completion of appropriate forms and reports that are not considered essential functions.
  • Perform other job-related duties as assigned by Falck Leadership.
  • Designate a replacement when appropriate.
  • Inventory and request needed supplies to perform department tasks.
  • Attend all required meetings.
  • Remain informed of relevant economic conditions and situations and recommends to the CEO any adjustments.
  • Maintains a high profile as a knowledge mentor, motivator and lead by-example staff leader.
  • Perform other job-related duties as assigned by Falck Leadership.

The individual in this position must possess the following qualifications:
  • Minimum 3-4 years of fleet/mechanical experience required.
  • Familiarity with OSHA and other related regulations.
  • Prior fiscal experience in expense management, purchasing, inventory control and revenue source development preferred.
  • Excellent management, supervisory and overall leadership skills (minimum two year), including relationship building and fostering excellent achievement through teamwork.
  • Excellent analytical skills and quality orientation-strives for continuous improvement in all activities to consistently achieve excellent results and meet or exceed department expectations.
  • Computer competency including proficiency with Microsoft Suite, and understanding of database programs, and type 40 wpm (minimum).

  • Strong interpersonal and communication skills with an ability to work effectively with a diverse range of individuals, teams, managers, supervisors, and external customers. Excellent ability to communicate and work cohesively across Department lines.

Education Requirements:

The individual in this position must possess the following education requirements:
  • High school diploma or general education degree (GED)
  • One or more Current ASE Certificates in one or more of the following: A-Series, L-Series, or T-Series certification tracks
  • BS/BA in related field preferred but not required
