Faculty Finance & Administration Manager

Duties and Responsibilities:
The FacultyFinance and Administration Manager plays a critical role in the overallleadership of the Faculty of Skilled Trades and Apprenticeship, Faculty ofHospitality and Horticultural Sciences and the Faculty of Science andEngineering Technology office. This position provides strategic, financial, andoperational oversight to ensure the effective delivery of faculty initiatives,special projects, apprenticeship programming, and day-to-day operations.Reporting to the Executive Dean, the incumbent acts as the key liaison betweenfaculty leadership, internal college services, industry partners, andgovernment agencies. The role requires advanced financial acumen, projectmanagement expertise, and strong leadership skills to coordinate staff, managebudgets, and ensure accountability in all aspects of faculty administration.Responsibilities include but are not limited to:

Financial Management andBudget Oversight:
  • Lead operating and capital budget cycles, monitor variances, and ensure alignment with priorities.
  • Prepare financial analyses, costing models, and reports for leadership.
  • Oversee procurement processes, compliance with policies, and credit card reconciliations.

Projectand Special Initiatives Management - Provide leadership and coordination forfaculty-wide and external projects:
  • Plan, coordinate, and implement faculty-wide and external projects.
  • Manage timelines, deliverables, logistics, and quality assurance.
  • Build and maintain partnerships with industry, community, and funding agencies.
  • Support proposal writing, funding applications, and revenue generation.
  • Analyze project data and create comprehensive reports.

Operational Leadership and Office Management:
  • Supervise and support administrative and student staff.
  • Develop and maintain SOPs, records management, and risk/compliance systems.
  • Provide operational support for scheduling, events, accreditation, and professional development.
  • Contribute to strategic planning and identify efficiencies.

Apprenticeship& Training Program Coordination:
  • Serve as lead contact with the Ministry (MLITSD) and school boards.
  • Manage logistics, reporting, and costing for apprenticeship, pre-apprenticeship, and OYAP programs.
  • Facilitate seat-purchase planning and oversee completion of required ministry forms.

Stakeholderand Partnership Engagement
  • Represent the Faculty on committees and working groups.
  • Strengthen relationships with internal departments and external partners.
  • Support outreach, recruitment, and promotional activities to enhance program visibility.

Qualifications:
  • A minimum of a 4-year diploma/degree in Business Administration, Finance or Accounting.
  • CPA designation considered an asset.
  • A minimum of 5 years of related experience in budgeting, forecasting, financial analysis.
  • Project management expertise is considered an asset.
  • Strong knowledge of ministry reporting requirements.
  • Knowledge of apprenticeship system considered an asset. Experience with student information systems considered an asset.
  • Excellent written and verbal communication skills, with the ability to prepare clear reports, deliver presentations, and build effective relationships across diverse stakeholders.
  • Strong interpersonal skills, including the ability to lead teams, resolve conflicts, and manage stakeholder expectations.
  • Demonstrated leadership and staff supervision experience.
  • High-level organizational, analytical, and problem-solving skills.
  • Computer Literacy: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and collaborative platforms (Teams, OneDrive).
  • Experience with enterprise financial systems, and project management software (e.g., Banner, or equivalent).
  • Demonstrated commitment to equity, diversity and inclusion in all matters related to students, staffing and programming.
