As the Facility Asset Management Analyst (FAMA) you will be responsible for the development and maintenance of facility asset management data systems within Facilities. You will liaise with operational and strategic partners including the facility business unit (BU) tenants, partner service line representatives, users, planners, and operators to gather asset data and business intelligence to support asset management decision making. You will be responsible for the quality assurance and quality control of the asset management system and its associated data. You will be involved in reporting on the current state of the facility portfolio and making recommendations for operational and capital planning budget purposes. You will be expected to update, document, and apply facility asset management processes, procedures and best practices and assist with the resolution of issues by providing solutions and recommendations to complex asset management problems. You will determine what data needs to be collected for a wide range of asset classes, analyze the data and determine the importance of funding the replacement of one system over another. Primary duties include:
- Establish and maintain Facilities asset management data systems, primarily utilizing Infor Enterprise Asset Management (EAM), PowerPlan, and Power Business Intelligence (BI), as well as Facilities other data systems.
- Prepare, update, and monitor individual asset records and ensure overall quality of the data available.
- Establish and utilize asset management system equipment codes.
- Provide support to partners in compiling, analyzing and interpreting data for annual Facilities asset status reports (internal and external), benchmarking activities, business unit and corporate level asset management plans and other required asset planning activities.
- Support the preparation of operational and capital budgets for Facilities.
- Support the onboarding and offboarding of facilities, sites, and complexes through collaboration with colleagues in Facilities, Law, Real Estate and Development Services, and other applicable BUs.
- Investigate and transcribe building equipment and facility asset management records through collaboration and consultation with various operational and strategic partners, interpreting drawings and specifications, analyzing other information systems, as well as by performing site visits to collect data.
- Prepare, plan, and prioritize investment recommendations for Facilities Asset Sustainment programs, including portfolio-wide prioritization and individual building asset management plans. Conduct infrastructure joint planning sessions collaboratively across service lines and prepare Infrastructure Investment Plans supporting proposed budgets requests for Council's review and approval. Provide decision support for the reprioritization work within each portfolio during the budget cycle.
- Review Building Condition Assessments conducted by external Consultants (Engineering and Architectural Firms). Provide feedback on draft reports and accept only when the final report meets established asset management guidelines and standards.
Qualifications
- A completed 2 year diploma in Architecture, Engineering, Facility Management, or Construction and at least 5 years of experience in asset management OR;
- A degree in Architecture, Engineering, Facility Management, or Interior Design and at least 3 years of experience in asset management.
- A valid Class 5 Licence or Graduate Driver's Licence (or provincial equivalency) and the use of a personal vehicle is required.
- Experience with Python, Structured Query Language (SQL) and data analysis tools to support data management, reporting and analysis.
- Experience in asset management of corporate building assets such as capital renewal planning, lifecycle investment prioritization, building construction cost estimation, building condition analysis, and/or asset management reporting is an asset.
- Experience with building design/development, construction, space planning, operations, and maintenance, as well as information technology concepts and data queries, information management processes, and project management skills is an asset.
- Advanced skill with Microsoft Office (Word, Excel, Access, Publisher, PowerPoint) is an asset.
- A working knowledge of PowerPlan, EAM (specifically with assets or equipment data) is an asset.
- Certification from the Institute of Asset Management (theIAM), and/or designation from the Building Owners Management International (BOMI) or the International Facility Managers Association (IFMA) is an asset.
Working Conditions: This position will be required to make site visits with potential exposure to various hazards.
