Full Job Description
The Facilities Maintenance Manager is responsible for all preventative, on demand, and improvement maintenance activities across all Madison, WI facilities, ensuring safe, compliant, and efficient operations. The role oversees critical building systems, including electrical, HVAC, plumbing -while maintaining and improving designated safety and security programs and employee compliance. This position provides strategic leadership on facility planning, project delivery, and building design requirements, including permits and regulatory considerations. The Facilities Maintenance Manager ensures operational reliability of equipment and infrastructure and may oversee validation, cleaning, and inspection of laboratory equipment. Success requires strong customer service, precise communication, attention to detail, and broad knowledge of facility, scientific, and small business operations. While strategic planning and administrative work are essential components of this role, the Facilities Maintenance Manager is required to routinely work in the field, directly engaging in maintenance activities, site inspections, equipment troubleshooting, and team support.

Key Accountabilities

  • Maintain an active boots-on-the-ground presence across all Madison facilities, participating in maintenance activities, inspections, troubleshooting, and field support to ensure real-time understanding of equipment, systems, and operational needs.
  • Supervise maintenance staff across all shifts and Madison sites, including scheduling, training, performance management, and ensuring adequate coverage to meet operational and quality requirements.
  • Oversee preventative and on-demand maintenance for buildings, utilities, grounds, and equipment, ensuring safety, quality, and regulatory compliance.
  • Manage facility systems (HVAC, electrical, plumbing, boilers, security, life-safety), coordinating repairs, improvements, and vendor/contractor work.
  • Lead maintenance operations including work order systems, asset management, equipment lifecycle activities, documentation, and performance reporting.
  • Support capital planning, project scoping, budgeting, sourcing, cost optimization, and continuous improvement initiatives.
  • Champion Health & Safety program requirements, ensuring training, audits, incident response, and strong safety culture across all sites.
  • Act as a primary contact for facility issues and emergencies, ensuring timely response to minimize downtime and maintain safe, compliant operations.
  • Perform other duties as assigned.


Minimum Requirements

  • Bachelor's degree in manufacturing, engineering, or a related field (advanced degree preferred).
  • Three or more years of people-leadership experience in a manufacturing and/or distribution environment preferred.
  • Working knowledge of EHS requirements related to facility operations and the built environment.
  • Strong communication skills, including the ability to interact effectively in writing and verbally with customers, contractors, vendors, and regulatory authorities.
  • Knowledge of Good Manufacturing Practices (GMPs); ability to follow SOPs is essential.
  • Strong mathematical skills, including geometric and volumetric calculations.
  • Strong planning and task-prioritization skills.


Preferences

  • Proven people-leadership skills with recent supervisory experience and strong independent judgment/self-starter work ethic.
  • Hands-on industrial maintenance expertise across mechanical, electrical, and HVAC/boiler systems, including troubleshooting and repair of plant equipment and utilities.
  • 5+ years maintaining complex mechanical systems in building/plant environments, with proficiency using mechanical, electrical, plumbing, and general construction tools.
  • Strong organizational, planning, time-management, and project management capabilities; able to multitask and meet deadlines.
  • Industrial Maintenance professional designation preferred (e.g., Industrial Mechanic/Millwright, Master Electrician).
  • Experience with continuous improvement practices (Six Sigma, Lean, ISO-based systems).
  • Familiarity with facilities management, EH&S, and OSHA/city/state/federal codes.
  • Effective communicator with the ability to execute and help develop/standardize operating procedures; multi-facility support experience preferred.


Working Conditions & Physical Requirements

  • Willingness to work non-standard hours, including occasional weekends, evenings, and holidays, as needed. Position may require overtime and on-call availability for facility-related issues or emergencies.
  • Physical mobility, including the ability to walk, sit, and stand for extended periods.
  • Ability to lift and carry items up to 50 lbs. to shoulder height, as well as manual dexterity to bend, lift, use tools, climb ladders, and operate a computer; includes gripping, twisting, and other repetitive motions.
  • Ability to work in both indoor and outdoor environments throughout all seasons, including high and low temperature conditions.
  • Work may require the use of personal protective equipment (PPE) such as gloves, dust masks or respirators, safety glasses, and hearing protection, as well as exposure to potentially hazardous materials.
