Full Job Description
The RoleWe are looking for a Facilities & Engineering Coordinator to provide administrative, operational, and technical support to the Facilities & Engineering team.

This position plays a key role in coordinating work orders, preventive maintenance activities, vendor services, regulatory and permit tracking, building documentation, emergency preparedness, and other facilities-related programs and processes.

The Facilities & Engineering Coordinator works closely with engineering personnel, Asset Services, Asset Management, Property Management, Development & Construction, IT, tenants, vendors, and contractors to support safe, efficient, and first-class property operations.

Responsibilities:
  • Administer and maintain the Computerized Maintenance Management System (CMMS), including work orders, preventive maintenance records, equipment information, supporting documentation, and reporting.
  • Coordinate with engineers, vendors, and contractors to track maintenance requests, repairs, inspections, and corrective actions through completion.
  • Monitor open work orders and follow up with responsible parties to ensure timely completion and proper closeout.
  • Assist with implementation and maintenance of preventive maintenance programs.
  • Maintain facilities records including service reports, inspection records, equipment documentation, warranties, permits, certificates, and regulatory documentation.
  • Coordinate and track mechanical, electrical, plumbing, fire/life-safety, and regulatory inspections and permits.
  • Assist with environmental and regulatory reporting, including tracking required reports, deadlines, supporting documents, and corrective actions.
  • Maintain and support emergency preparedness programs and Emergency Response Plans.
  • Assist with development, implementation, review, and maintenance of Facilities Standard Operating Procedures.
  • Support vendor and service-contract administration.
  • Maintain service schedules, contract information, certificates of insurance, and supporting records.
  • Assist engineering teams with obtaining proposals, scheduling vendors, coordinating access, and tracking repairs and projects.
  • Coordinate tenant facilities requests and provide status updates as appropriate.
  • Track facility deficiencies identified through inspections, commissioning, preventive maintenance, tenant requests, or building assessments.
  • Assist with facilities budgeting, expense tracking, invoices, purchase orders, and forecasting as applicable.
  • Maintain building drawings, O&M manuals, equipment information, commissioning records, and other technical documentation.
  • Support building transitions, tenant turnover, commissioning, capital projects, and Facilities & Engineering initiatives.
  • Identify outstanding items, take ownership of follow-up, and drive tasks through completion.

Qualifications:
  • Associate's or bachelor's degree in Facilities Management, Engineering, Construction Management, Business Administration, or related field preferred. Equivalent experience will be considered.
  • Typically, 2-5 years of facilities, property operations, engineering administration, or related experience preferred.
  • Life science, laboratory, critical-environment, or similar facilities experience preferred.
  • Experience with CMMS/work-order management systems preferred.
  • Proficiency with Microsoft Outlook, Excel, Word, and Teams.
  • Experience with building drawing and document-management systems preferred.
  • Ability to navigate architectural and MEP drawings is a plus.
  • Strong organizational, documentation, and follow-through skills.
  • Excellent written and verbal communication skills.
  • Strong customer-service orientation.
  • Ability to manage multiple priorities and deadlines.
  • Ability to work independently, take initiative, and collaborate effectively across multiple departments.
  • Valid driver's license required.

The base compensation range for this role is $75,000-$90,000 annually. This role is also eligible for a discretionary annual bonus, as well as access to our comprehensive medical, dental, and vision insurance, life and disability insurance, 401(k) plan (with matching contributions), wellness benefits and all other benefits afforded to full-time Breakthrough employees.
