About The Role

As Executive Assistant to our Cofounder & Chief Medical Officer, you will be a critical partner in helping him focus his time and energy on the work that matters most. This is much more than calendar management - you'll help translate priorities into action, protect time for the highest-impact work, and make thoughtful decisions about what gets attention when competing demands arise.

This role has one important feature that sets it apart from a typical desk-based EA position: it requires a genuine in-person presence. Beyond managing the calendar, inbox, and projects, you'll be the person who shows up - at the office and across Greenbrook's clinics - to handle whatever can't be done remotely: checking and processing corporate mail, being physically present for signatures, deliveries, and vendor visits, and representing the Cofounder on-site whenever a task calls for someone there in person rather than on a call.

Reporting directly to the Cofounder & Chief Medical Officer, this role is highly responsive, fast-paced, and collaborative. Day to day, you'll manage a complex calendar, field a high volume of email and messages, coordinate meetings and follow-up, and keep priorities moving forward - while staying ready to be on the ground wherever an in-person touch is needed.

Location: Tampa, FL; must be based locally, with regular in-person presence expected at the Greenbrook Medical clinics and across clinics in the Tampa Bay area.

What You'll Do

Own the Calendar & Inbox
  • Manage the calendar with a strong point of view on priorities, making thoughtful tradeoffs when competing requests arise.
  • Triage a high volume of email and messages daily, quickly identifying what needs the Cofounder's attention versus what can be handled or delegated.
  • Anticipate scheduling conflicts and resolve them proactively before they become problems.

Keep Things Moving
  • Track commitments, follow-ups, and action items to make sure important work keeps moving and nothing falls through the cracks.
  • Follow up with stakeholders and hold people accountable to deadlines when needed.
  • Prepare the Cofounder for meetings by ensuring he has the right context, materials, and information ahead of time.

Be the In-Person Presence
  • Check and process corporate mail on a regular basis, handling or routing items directly rather than waiting for them to be forwarded.
  • Travel to Greenbrook clinics and other local sites to handle anything that requires someone there in person - signatures, deliveries, vendor check-ins, drop-offs and pick-ups, and similar hands-on needs.
  • Represent the Cofounder at in-person meetings, site visits, or errands when his own presence isn't required but someone needs to be there on his behalf.
  • Serve as a reliable point of physical presence for anything that can't be resolved over email or phone.

Connect the Dots
  • Coordinate across clinical, operations, people, and other teams to keep priorities aligned and work moving.
  • Communicate clearly, professionally, and promptly on behalf of the Cofounder.
  • Build strong relationships across Greenbrook and serve as a trusted, highly responsive point of contact.

What Success Looks Like
  • The calendar consistently reflects the highest-priority work, with minimal unnecessary meetings or scheduling conflicts.
  • Responds to or appropriately routes 95%+ of requests within 24 hours.
  • No important commitments, follow-ups, or deadlines fall through the cracks.
  • The Cofounder is consistently prepared for key meetings with the right information and materials in advance.
  • Corporate mail and in-person needs at the office and clinics are handled promptly, without the Cofounder needing to think about them.
  • Stakeholders experience the Cofounder's office as responsive, organized, clear, and easy to work with.
  • The Cofounder spends more time on high-impact clinical and strategic priorities because day-to-day coordination - including anything requiring an in-person touch - is handled proactively.

About You

You bring:
  • 5+ years of experience supporting a senior executive, ideally in a fast-paced healthcare, startup, or growth environment.
  • Genuine comfort being on-site regularly and traveling locally between multiple locations (clinics, office) as a core part of the job, not an occasional exception.
  • Exceptional organizational skills and the ability to manage many competing priorities without losing important details.
  • Strong judgment and the confidence to make difficult prioritization and scheduling decisions on behalf of an executive.
  • A highly proactive working style - you anticipate needs rather than waiting to be asked.
  • Exceptional written and verbal communication skills, with the ability to be clear, concise, and appropriately direct.
  • A high level of responsiveness and comfort managing significant volume across email, Slack, and other communication channels.
  • Strong follow-through and a track record of getting things done.
  • The ability to build trust quickly and work effectively with physicians, executives, and teams across an organization.
  • Discretion and sound judgment when handling confidential or sensitive information.
  • A valid driver's license and reliable transportation for regular travel between sites.
