Full Job Description
As an Executive Assistant to the CEO, you will serve as a trusted partner to the company's chief executive. This is a highly visible, high-impact position supporting a fast-moving CEO who operates across business strategy, client relationships, technology and AI, industry thought leadership, strategic partnerships, and organizational growth.

In this role, you will operate as an extension of the CEO, helping manage priorities, protect the CEO's time, anticipate needs, coordinate across senior leadership, and ensure important commitments move from conversation to execution. The successful candidate will possess exceptional judgment, discretion, organization, communication skills, and the ability to operate effectively in an environment where priorities can shift quickly.

Key Responsibilities

  • Own and prioritize a high-volume executive calendar aligned with revenue goals, board obligations, and strategic initiatives


  • Serve as the primary gatekeeper, controlling access and protecting executive focus


  • Lead logistics for ThinkTank events (approx. 100-150 attendees), including travel, scheduling, and execution


  • Coordinate complex domestic and international travel, including visa processing


  • Support Board operations and participation tracking


  • Prepare executive materials that directly inform leadership decisions


  • Design workflow and SOPs to improve operational efficiency


  • Maintain strict confidentiality across executive and organizational matters


  • Coordinate and execute business and personal errands for the CEO as needed, ensuring requests are handled efficiently, professionally and with discretion.


  • Coordinate and manage daily lunch and dinner orders for the executive floor, ensuring meals are ordered accurately, delivered on time, and aligned with executive preferences and dietary needs.


Qualifications

  • High school diploma or GED required.


  • Bachelor's degree in Business Administration, or related field preferred.


  • 7+ years of executive support experience, preferably supporting a CEO, Chairman, President, or other C-suite executive.


  • Previous experience supporting senior executives in consulting, professional services, technology, or other high-growth, fast-paced organizations is strongly preferred.


  • Exceptional organizational and time-management skills with the ability to manage numerous priorities simultaneously.


  • Demonstrated ability to anticipate executive needs and operate proactively with limited direction.


  • Excellent written and verbal communication skills.


  • Ability to interact confidently and professionally with senior executives, clients, business leaders, and other high-level board members


  • Proven ability to handle confidential and highly sensitive information with discretion.


  • Comfortable operating in a rapidly changing environment where priorities may shift throughout the day.


  • Advanced proficiency with Microsoft Outlook, Teams, Word, Excel, PowerPoint, and modern productivity platforms.


  • Strong interest in and practical ability to use AI and automation tools to improve executive productivity and workflow efficiency.


  • High sense of urgency with the ability to meet deadlines and changing priorities.


  • Receptiveness to performance feedback within a team environment is essential.


  • Candidate must reside or relocate to Houston, TX
