Full Job Description
The Executive Assistant to the Office of the President provides high-level, confidential administrative and operational support to the President/CEO and the Bank's Management Committee (Executive Team) and helps ensure the efficient operation of the Office of the President. This role manages a complex calendar, coordinates meetings, travel, events, communications, briefing materials, information requests, and executive follow-through; serves as a trusted liaison to directors, senior leaders, employees, FHLBank System officials, industry contacts, and other external stakeholders; and maintains effective office systems and service standards. The ideal candidate anticipates needs, exercises exceptional judgment and discretion, manages competing priorities with accuracy and composure, and supports timely decision-making and execution across the organization.

This role requires flexibility to support the President/CEO's schedule, including occasional early mornings, evenings, travel, and time-sensitive matters outside standard business hours. The position requires strict adherence to confidentiality, records-management, and information-security practices and the ability to work effectively in a fast-paced, hybrid work environment.

Limited travel within New England is required for this role, expected to be less than 5% of the time.

This role may work on a hybrid work schedule in alignment with the Bank's Hybrid Work Program with an expectation that work location and schedule aligns with the stated expectation of the Bank's President & CEO, which may shift with little or no notice.

This role will have a hybrid work schedule in our Boston office in accordance with the Bank's Hybrid Work Program. More time will be expected in the office to support onboarding initially.

Anticipated Pay Range

The anticipated base pay range for this role is $119,000 - $182,000.

This role is based in Boston with weekly in-office expectations. The base pay posted represents the annual base pay range or hourly wage range that we expect to offer for this job opportunity. The actual base salary offer will depend on a variety of factors including relevant experience, required skills and other relevant factors. The range noted here is not indicative of all positions in the job grade within which this position falls.

Specific Responsibilities
  • Executive Calendar & Priority Management: Manage the President/CEO's complex calendar; prioritize requests and materials for review; anticipate scheduling needs and conflicts; and ensure the President/CEO is prepared for internal and external commitments.
  • Meeting & Event Coordination: Coordinate Management Committee, staff, industry, trade association, and other executive meetings and events, including scheduling, agendas, briefing materials, facilities or virtual platforms, attendance, catering, and other logistics.
  • Executive Communications: Draft, edit, proofread, format, and distribute correspondence, memoranda, presentations, reports, and other materials for the President/CEO's signature or use, ensuring accuracy, appropriate tone, and alignment with organizational standards.
  • Briefing Materials & Executive Readiness: Gather, organize, and synthesize background information; coordinate contributions from staff; establish deadlines; and prepare agendas, talking points, briefing books, and other materials to support informed decision-making.
  • Information Requests & Workflow Coordination: Triage requests received by the Office of the President; assign or route requests to appropriate staff; provide clear direction and deadlines; monitor progress; review responses for completeness; and ensure timely follow-through.
  • Executive Action Tracking: Document decisions, commitments, and action items arising from meetings and communications; coordinate projects assigned to senior officers; monitor completion; and communicate status and results to the President/CEO.
  • Internal, External & System Liaison: Serve as a trusted and professional liaison between the President/CEO and directors, senior leaders, employees, Federal Home Loan Bank System officials, industry and trade association contacts, members, visitors, and other stakeholders; facilitate the timely and appropriate flow of information.
  • Travel & Expense Administration: Arrange complex domestic travel and related itineraries, accommodations, and meeting logistics; coordinate changes as needed; prepare and reconcile expense reports; and maintain complete and accurate supporting documentation.
  • Office Operations & Records: Maintain effective administrative systems for executive correspondence, files, records, contacts, subscriptions, mail, and secure information; organize a high volume of sensitive materials; and ensure compliance with records-retention, confidentiality, and information-security requirements.
  • Office Service Standards: Support a professional, responsive, and welcoming Office of the President; ensure all verbal and written interactions with staff, visitors, and stakeholders reflect positively on the Bank; and promote timely, accurate, and efficient administrative support.
  • Team & Work Coordination: Coordinate work across administrative and business partners, provide direction on executive-office deliverables, and monitor assignments through completion; contribute as a collaborative member of the broader executive support team.
  • Process Improvement & Professional Development: Evaluate Office of the President workflows and administrative practices, recommend and implement improvements, leverage technology to enhance effectiveness, and remain current on executive-support best practices.
  • Incumbent will be trained as a back-up for the Corporate Governance Specialist to ensure adequate support for the Bank's Board of Directors and Board Meetings.
  • Perform other duties and special projects as assigned.


Required Qualifications
  • Demonstrated experience providing high-level administrative support to a President/CEO or other senior executive in a complex professional environment.
  • Proven ability to manage a complex executive calendar, coordinate meetings and travel, prepare briefing materials, and track multiple commitments through completion.
  • Excellent writing, editing, proofreading, and verbal communication skills, with the ability to prepare polished executive correspondence and materials.
  • Exceptional organizational, planning, and problem-solving skills, with the ability to work independently, exercise initiative, and manage competing priorities, deadlines, and stakeholders in a fast-paced environment.
  • Demonstrated discretion, integrity, tact, and sound judgment when handling highly confidential, sensitive, or time-critical information.
  • Strong interpersonal, stakeholder-management, and customer-service skills, with the professional presence to interact effectively with directors, executives, employees, visitors, and external contacts.
  • Ability to coordinate work across teams, provide clear direction, monitor progress, and ensure timely, accurate completion of assignments.
  • Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint, and comfort learning collaboration, document-management, scheduling, and other executive-support technologies.


Preferred Qualifications
  • Experience supporting a chief executive, executive leadership team, or Office of the President in a regulated financial-services or similarly complex environment.
  • Working knowledge of banking, the Federal Home Loan Bank System, financial-services regulation, or related industry and public-policy issues.
  • Experience coordinating senior-level events, trade association activities, executive travel, and meetings involving external stakeholders.
  • Experience with secure document management, records retention, executive information systems, and process improvement.


Education
  • Bachelor's degree in business administration, communications, or a related field is strongly preferred; an equivalent combination of education and/or relevant experience will be considered.


Experience
  • Minimum of 7 years of progressively responsible executive administrative experience, including substantial experience directly supporting a President/CEO or comparable senior executive.
