Responsibilities

  • Manage and prioritize the CEO's calendar and scheduling needs.

Full Job Description
Position Description
The Executive Assistant/Office Manager provides proactive executive support to the CEO while overseeing key office operations and coordinating administrative functions for the corporate office. This highly visible role requires exceptional organizational skills, sound judgment, discretion, adaptability, and the ability to anticipate needs in a fast-paced, mission-driven environment.
The successful candidate demonstrates initiative, anticipates executive needs, and proactively resolves challenges while maintaining the highest standards of professionalism and confidentiality. The position serves as a primary point of contact for executive communications and facilitates effective communication, coordination, and administrative support for the CEO and the Executive Office.

A qualified candidate will perform the following duties and responsibilities, but are not limited to:
  • Provide proactive calendar management for the CEO, including scheduling, prioritization, conflict resolution, and adjustments.
  • Serve as a primary point of contact for executive communications with internal and external stakeholders.
  • Coordinate executive meetings, including scheduling, agendas, meeting materials, logistics, and follow-up actions.
  • Arrange and coordinate domestic and international travel, including itineraries, accommodations, and related logistics.
  • Support the day-to-day operations of the corporate office, including coordination of vendors, office supplies, facility needs, and company events.
  • Prepare, edit, and organize executive correspondence, presentations, reports, and other business documents as needed.
  • Exercise sound judgment, professionalism, and the highest level of confidentiality when handling sensitive information.
  • Build and maintain effective working relationships while anticipating the administrative and operational needs of the Executive Office.
  • Demonstrate initiative, adaptability, and a commitment to continuous learning while contributing to the efficient execution of executive priorities.
  • Perform other duties and special projects as assigned.
Required Qualifications
  • Demonstrated experience providing administrative, executive, project, or operational support in a professional business environment.
  • Demonstrated competencies in organization, prioritization, problem-solving, and managing multiple competing priorities with exceptional attention to detail.
  • Proven learning agility with the ability to quickly adapt, learn new systems, and assume increasing levels of responsibility.
  • Strong executive presence, professionalism, discretion, and emotional intelligence, with the ability to build productive working relationships across all levels of the organization.
  • Excellent written and verbal communication skills, including the ability to prepare, edit, and organize executive correspondence and business documents.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Demonstrated initiative, sound judgment, and the ability to work independently while exercising the highest level of confidentiality.
  • Bachelor's degree in Business Administration or a related field.
  • Valid driver's license with the flexibility to occasionally work extended hours or support business events as needed.
Security Clearance Requirement
U.S. citizenship with the ability to obtain and maintain a Secret clearance

Location & Travel
This is a full-time, on-site position based in Falls Church, VA, with occasional evening or weekend support

Preferred Qualifications
  • Active Secret or Top-Secret clearance
  • Experience supporting executive or senior leadership.
  • Experience in a government contracting, defense, military, or similarly regulated environment.

Compensation at ARServices is determined based on a variety of job-related factors, including education, relevant experience, certifications, knowledge, skills, competencies, internal equity, external market considerations, geographic location, security clearance level, contract labor category and funding requirements, organizational needs, and applicable federal, state, and local laws. The projected compensation range for this position is based on full-time status. Actual starting compensation will be determined based on the selected candidate's qualifications and the factors identified above. For part-time positions, compensation will be adjusted proportionately based on scheduled hours worked.
