Full Job Description
POSITION SUMMARY

The Executive Assistant provides high-level administrative support and project coordination to a senior executive. The role supports special projects and reports, calendar management and scheduling, meeting preparation and note-taking, document organization, travel logistics, and other administrative needs.

PRIMARY DUTIES AND RESPONSIBILITIES
  • Perform a broad range of administrative and project coordination duties with limited supervision.
  • Provide day-to-day administrative support to the executive, including confidential communications in meetings, email, and telephone calls.
  • Manage and coordinate the executive's calendar using Outlook, proactively identifying potential conflicts and determining appropriate alternatives.
  • Prepare logistics and materials for meetings, teleconferences, visitors, and consultants; take and organize meeting notes as needed.
  • Compose correspondence; research and compile materials and reports; and prepare word-processing documents, spreadsheets, and presentations.
  • Arrange travel and detailed itineraries for the executive and other executives as needed.
  • Prepare and process expense reports for the executive.
  • Maintain organized document storage and retrieval practices.
  • Use the highest level of discretion and confidentiality in a professional manner.
  • Handle a high volume of work with accuracy while remaining flexible and efficient as priorities change.
  • Create a welcoming atmosphere and demonstrate service responsiveness and professionalism throughout the organization.
  • Interact with team members at all levels of the organization in a gracious and supportive manner.
  • Travel is minimal; occasional travel to field locations, company events, or meetings may be required.
  • Complete other duties as assigned based on departmental needs.
  • Conform with all applicable regulations, policies, work procedures, instructions, and safety rules, and maintain regular, reliable, punctual, and predictable attendance.

Requirements

REQUIRED QUALIFICATIONS
  • At least 4 years of relevant administrative experience, including direct support to a senior executive and experience supporting a C-level executive.
  • Associate degree or higher.
  • Experience working with highly confidential information and materials.
  • Advanced proficiency with Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
  • Strong calendar-management skills using Outlook and the ability to manage a complex, changing executive schedule.
  • Professional communication skills when working with team members, clients, field members, board members, and investors.
  • Experience coordinating executive travel and meetings with a high level of detail.
  • Eligible to work in the United States.
  • Available to work overtime as needed.

PREFERRED QUALIFICATIONS
  • Bachelor's degree.
  • Experience interfacing with a board of directors, corporate officers, or other senior stakeholders.
