Enrollment Specialist - Registration Systems is responsible for the management, accuracy, coordination, and continuous improvement of the district's student registration processes and systems. This role ensures that all student enrollment data is entered, verified, maintained, and communicated accurately while supporting efficient enrollment operations across the district.
This position serves as both the technical and operational support lead for centralized enrollment processes, supporting student registration, school placement coordination, documentation compliance, and enrollment-related communication with schools and families. The Enrollment Specialist works closely with school leaders, district departments, and families to ensure enrollment processes align with district policies, school capacity, operational needs, and student placement requirements.
The Enrollment Specialist - Registration Systems plays a critical role in ensuring the district's enrollment systems and processes are reliable, responsive, user-friendly, and aligned to district operational, reporting, and planning needs.
Minimum Qualifications:- High School Diploma or equivalent
- Three (3) years of experience in data entry, registration, school operations, enrollment, student services, or related field
- Required criminal history background check, physical and proof of U.S. citizenship or legal resident alien status
- A valid driver's license or state issued ID, valid insurance and registration
Preferred / Qualifications:- Associate's or Bachelor's Degree in information systems, business administration, education, public administration, or related field
- Experience with student information systems (SIS) or database management
- Experience working in school operations, enrollment, or student services
- Bilingual proficiency preferred

Registration Systems ManagementOversee and support the district's student registration systems and processes.
- Manage and maintain centralized registration processes

Student Registration and Data EntryEnsure accurate and timely entry of student enrollment data.
- Enter, update, and maintain student records in district systems

Documentation Verification and ComplianceEnsure all required enrollment documentation is complete and compliant.

School-Based Enrollment CoordinationServe as a primary support contact between schools and centralized enrollment operations.

- Support enrollment transfers, withdrawals, and placement adjustments
- Maintain clear documentation related to student placement decisions
- Assist in resolving enrollment and placement issues
Family Support and Registration AssistanceProvide support to families navigating the registration and placement process.
- Assist families with completing registration requirements
- Provide guidance regarding documentation and enrollment procedures
- Communicate enrollment and placement information clearly and professionally
- Support resolution of registration and school assignment concerns

Process Standardization and EfficiencySupport the development and implementation of consistent enrollment processes.

Continuous Improvement and System EnhancementSupport ongoing improvement of enrollment systems and processes.
- Identify opportunities to improve systems and workflows
- Provide feedback on user experience and functionality
- Support implementation of system enhancements
- Recommend operational improvements to strengthen enrollment services
Other DutiesPerform such other duties as assigned by the Superintendent or designee in accordance with law and regulation.

Work Year: Twelve (12) Months
Classification: Non-Affiliated / Confidential / Support Staff (aligned to district structure)
Minimum Starting Salary: $75,000.00
Maximum Starting Salary: $100,000.00
Residency RequirementUnder New Jersey's "New Jersey First Act" (N.J.S.A. 52:14-7), all employees of New Jersey public school districts must maintain bona fide New Jersey residency as a condition of employment. Candidates must already reside in New Jersey or establish residency within the required timeframe after hire. Current employees who were hired on or before September 1, 2011 are exempt from this requirement and may continue to reside outside the state. In limited circumstances, applicants may request a residency waiver through the state's Employee Residency Review Committee if they can demonstrate critical need or hardship; approval is not guaranteed.
