Position Summary

The Engineering Operations Coordinator is responsible for providing visibility, accountability, and organizational discipline across the Engineering Department. Working closely with the Director of Engineering and engineering staff in both New Jersey and Texas, this role ensures that engineering priorities, project commitments, and product development activities remain visible, current, and aligned with company objectives.

The primary responsibility of this position is maintaining the Engineering Priorities Dashboard and ensuring that project status, risks, milestones, and commitments are accurately tracked and communicated. The Engineering Operations Coordinator serves as a central point of coordination between Engineering, Research & Development, Sales, and Marketing, helping improve communication, resource utilization, and execution across the organization.

This role does not perform engineering work or serve as the technical owner of projects. Instead, it drives project visibility, follow-through, reporting, and accountability while supporting approximately 10-20 concurrent engineering and product development initiatives.

Essential Functions

Engineering Priorities & Project Visibility
  • Own and maintain the Engineering Priorities Dashboard, ensuring project status, priorities, milestones, risks, and commitments are current and visible.
  • Track approximately 10-20 concurrent engineering and product development projects.
  • Maintain project schedules, action items, deliverables, and committed completion dates.
  • Identify schedule risks, overdue actions, and potential bottlenecks and communicate concerns to the Director of Engineering.
  • Provide clear visibility into project health, resource constraints, and execution status.

Project Coordination & Follow-Through
  • Collect weekly project updates from engineering team members and ensure project information remains accurate and current.
  • Drive the project update process by proactively following up on missing information, overdue tasks, and unresolved action items.
  • Coordinate recurring project review meetings and document key decisions, commitments, and follow-up actions.
  • Ensure accountability by tracking commitments through completion and escalating concerns when necessary.
  • Support engineering teams in both New Jersey and Texas through consistent communication and project coordination.

Cross-Functional Communication
  • Facilitate communication between Engineering, Research & Development, Sales, and Marketing to ensure alignment on priorities, deliverables, and timelines.
  • Improve visibility and alignment of project priorities across departments.
  • Help ensure engineering resources are focused on the highest-value initiatives and strategic priorities.
  • Support communication of engineering workload, project status, and resource needs to leadership.

Reporting & Metrics
  • Prepare and present project status updates, dashboards, and reports to the Director of Engineering.
  • Develop and maintain engineering metrics related to project execution, milestone achievement, and departmental performance.
  • Track and report product development milestones and project completion performance.
  • Provide actionable information that supports prioritization and resource planning decisions.

AI & Productivity Tools
  • Utilize AI tools and Large Language Models (LLMs) to improve personal productivity and department efficiency.
  • Identify opportunities to automate routine administrative, reporting, and project tracking activities.
  • Assist with implementation of AI-enabled workflows within Microsoft Office, project management software, and other business systems.

Qualifications
  • Minimum 5 years of experience in project coordination, engineering support, operations coordination, technical administration, or a related role.
  • Experience working in a technical, engineering, manufacturing, construction, product development, or similar environment.
  • Proficiency with project tracking and collaboration tools such as Monday.com, Asana, ClickUp, Smartsheet, or similar platforms.
  • Strong organizational skills with the ability to manage multiple concurrent projects and priorities.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong attention to detail and ability to consistently follow through on commitments and action items.
  • Proficiency with Microsoft Office applications including Excel, Word, PowerPoint, Teams, and Outlook.
  • Ability to understand technical concepts and communicate effectively with engineering personnel, even without a formal engineering background.
  • Experience creating reports, dashboards, and management-level project summaries.

Details
  • The starting compensation range for this position is $90,000 - $120,000 USD and will be determined based upon a candidate's experience and location.
  • The typical working hours for this position are 3 days in office, 8 am - 4 pm EST.
  • This job position is exempt to overtime as determined by the FLSA standards.
  • Travel is expected for this position up to 5-10% which is anticipated to be overnight in several domestic locations. International travel may be required in the future depending on business needs.

Success in this role requires persistence, professional follow-up, and the confidence to engage engineers, managers, and leadership to obtain accurate project status and drive commitments to completion. The ideal candidate is comfortable holding others accountable, proactively following up on open items, and ensuring important commitments do not fall through the cracks, even when they do not have direct authority over project participants.
