What We're Looking For:Michael Baker is seeking a detail-oriented Document Controls Specialist to support project teams by managing document workflows, review processes, and project records throughout the design and construction lifecycle. This role is responsible for maintaining document control systems, coordinating reviews, tracking deliverables, and ensuring accurate and timely distribution of project documentation.
What You'll Do:- Develop and maintain document review workflows for project submissions, including design packages, RFIs, submittals, transmittals, and project correspondence.
- Coordinate and assign review responsibilities to appropriate stakeholders while ensuring efficient utilization of available system access and reviewer licenses.
- Monitor review cycles and proactively follow up with reviewers to ensure deadlines and project schedules are met.
- Track document status, approvals, comments, and revisions to maintain a complete and accurate audit trail.
- Facilitate the distribution of project documents between reviewers, contractors, consultants, and project teams.
- Configure and implement new workflows, templates, and document control processes to support changing project and construction requirements.
- Ensure all project documentation is properly organized, filed, and retained in accordance with project standards and company procedures.
- Generate reports and provide status updates on document reviews, pending actions, and project deliverables.
- Support project teams with troubleshooting, training, and guidance related to document management systems and workflows.
- Maintain confidentiality, accuracy, and quality control of project records and documentation.
What You Need to Succeed:- High School or GED; Associate's in Business Administration, Engineering, Construction Management, or a related field preferred.
- 7+ years of experience in document control, project administration, construction support, or a related role.
- Experience with Procore or similar document management systems required.
- Strong understanding of document control processes within design, engineering, or construction environments.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple priorities and meet tight deadlines in a fast-paced environment.
- Excellent communication and coordination skills.
Compensation:The approximate compensation range for this position $99,840 - $114,400 per year. This compensation range is a good faith estimate for the position at the time of posting. Actual compensation is dependent upon factors such as education, qualifications, experience, skillset, and physical work location.
